Intake Specialist – ABA Therapy, US Healthcare

• Serving as the first point of contact for families inquiring about or beginning ABA therapy services, delivering a warm, professional, and reassuring experience from the very first interaction. • Guiding families through the full intake process, explaining each step clearly, answering questions, and ensuring they feel supported throughout. • Collecting and following up on required intake documentation and paperwork, ensuring all forms are completed accurately and on time. • Tracking the status of each family through the intake pipeline and proactively following up to keep the process moving without unnecessary delays. • Responding promptly to incoming inquiries via phone and email, maintaining a high standard of responsiveness at all times. • Accurately capturing and updating family and client information in the relevant systems (including CentralReach or similar platforms). • Coordinating with internal teams (scheduling, clinical, and administrative) to ensure a smooth handover once intake is complete. • Flagging any delays, incomplete documentation, or unresponsive families to the relevant team member in a timely manner. • Maintaining consistency and attention to detail across a high volume of concurrent intake cases.

Job Requirements

  • Excellent English verbal communication skills with a warm, professional, and empathetic phone manner — you need to be comfortable speaking with families going through a significant process.
  • Strong written communication skills, with the ability to craft clear, professional, and compassionate emails and messages.
  • Highly organised with the ability to manage multiple intake cases simultaneously without losing track of details or deadlines.
  • A strong sense of urgency and responsiveness — you understand that speed matters and act accordingly.
  • Prior experience in a customer-facing, intake, patient coordination, or administrative support role is preferred.
  • Experience with CentralReach, ClickUp, or similar practice management or CRM platforms is an advantage.
  • Familiarity with the ABA therapy space or a background in healthcare, disability services, or education is a plus.
  • Self-motivated and process-oriented — you follow through consistently and don’t need to be reminded to take the next step.
  • Comfortable with repetitive, process-driven work and able to maintain high standards of quality and accuracy throughout.

Role Description The Revenue Cycle Department has a new opportunity available for the role of Transplant Specialist. This position works under general supervision to handle contracting and operational functions for transplant contracts. The daily responsibilities in this role will include, but not be limited to, the following: - Overseeing and completing all processes related to transplant case rate allocations including reporting functions, charge analysis with contract review, application of Medicare formula for allocation development, check requests for community providers and coordinating with hospital and physician follow up teams. - All duties require understanding, interpretation, and application of contract parameters to complete. - Reviewing patient referrals/updates within EPIC registration/bundled episodes and transplant access database. - Reviewing charges in EPIC to ensure billing on correct guarantor account type/coverage. - Experience working with transplant programs including, but not limited to transplant contracting, transplant provider relations, transplant billing, and collections, etc. - Must be able to multi-task and pivot across duties as needed. - Interact with a variety of internal and external customers i.e., clinics, hospitals programs, billing/collections teams for physicians, payers, transplant network, etc. Shift: 7am-4pm or 8am-5pm Work from home (WFH): This is a WFH position. The applicant must live within the state of Texas, the DFW area (within 50 miles) preferred. Additional details related to this shall be discussed as part of the interview process. Requirements - Manages and maintains transplant patients' referrals and updates throughout the transplant process via internal Access database and Epic Resolute including insurance coverage and charge review for proper billing. - May include coordination of case rate distributions for patients covered under case rate or global payments. - Conducts payment audits on transplant patient accounts working closely with Revenue Cycle and Revenue Accounting. - Intermediary between Revenue Cycle and Transplant Network. - Performs reporting functions and data analysis as needed. - Performs other duties as assigned.
