• Support administrative processes related to client onboarding. • Enter and update information within the CRM system. • Ensure all client interactions are handled with courtesy, empathy, and professionalism. • Open new matters and maintain accurate client records. • Schedule consultations and coordinate appointments. • Conduct client intake interviews and gather relevant information. • Communicate effectively with internal team members regarding client needs and next steps. • Serve as the first point of contact and represent the firm professionally. • Assist in creating a positive and seamless client experience throughout the intake process. • Maintain organized records and documentation. • Send retainer agreements and follow up as needed. • Answer incoming phone calls from prospective and existing clients.
Job Requirements
- Schedule: Monday through Friday, 09:00 a.m. to 06:00 p.m. EST
- Bilingual proficiency in English and Spanish required.
- Previous experience in intake, customer service, client relations, call handling, or legal support preferred.
- Experience working with law firms is highly preferred.
- Ability to manage approximately 10 to 15 phone calls per day.
- Experience using CRM systems required.
- Experience with Clio preferred.
- Strong organizational and multitasking abilities.
- Excellent verbal and written communication skills.
- Ability to handle sensitive client information with professionalism and discretion.
