Job Description
Lease and Facilities Administrator
Lime
• Own the lease administration process for the Americas region, ensuring accurate documentation, timely rent and utility payments, and compliance with contractual obligations. • Partner with Finance on payment schedules, escalations, rent and CAM reconciliations, and CapEx depreciation. • Manage vendor onboarding, invoice processing, and facilities-related contracts in partnership with Producement and AP. • Maintain accurate lease data in the lease management system (e.g., Visual Lease) and support audit readiness. • Support leasing and contract management across the real estate lifecycle. • Serve as the Real Estate point of contact for repair and maintenance requests, partnering closely with the Construction Project Manager. • Help triage, track, and coordinate facilities issues with Operations, vendors, landlords, and Construction. • Set up new sites in internal systems in coordination with Supply Chain and Corporate Technology. • Prepare regular reporting and business cases to support leadership decision-making. • Track and communicate critical lease dates, including expirations, renewal options, notice periods, and key landlord obligations.
Job Requirements
- Bachelor’s degree in Business Administration, Real Estate, Facilities Management, or equivalent experience.
- 2+ years of experience in commercial real estate administration, facilities management, or project coordination. Experience supporting industrial/flex properties preferred.
- Strong organizational skills with the ability to manage multiple projects across markets.
- Clear, professional communicator comfortable working across teams and external partners.
- Detail-oriented with a strong sense of ownership.
- Proficient in Google Workspace (especially Sheets); experience with Visual Lease, Coupa, or similar lease and payment management systems a plus.
