• Own the project management ecosystem (Trello/Asana/Notion). • Oversee onboarding, scheduling, and client-matching workflows for 60+ self-employed coaches. • Manage multiple executive and departmental inboxes, triaging and resolving complex queries. • Protect the organisation’s five-star rating by handling escalations with empathy and speed. • Actively deploy AI and automation tools (ChatGPT, Claude, Zapier, Make) to improve team output.

Job Requirements

  • 4+ years in operations within a service-based, tech-enabled business (SaaS, marketplace, or agency).
  • Proven track record of managing freelancers, contractors, or distributed teams.
  • Exceptional written English—clear, professional, and warm.
  • Extremely 'switched on' and calm under pressure; able to solve problems efficiently.
  • Attention to detail, ability to multi-task and work in a fast-paced environment.
  • Must be using AI tools (Claude, ChatGPT) daily.
  • Expert proficiency in Trello (or similar tools like ClickUp/Notion).
  • Practical experience with Zapier, Make, and Large Language Models (LLMs).
  • Expertise in Gmail/Google Workspace and CRM management.
  • Ability to quickly master and optimise a custom-built tech platform.

Role Description GovCIO is currently hiring for a Portfolio Operations Lead for the Memorials and Corporate Portfolios. This position will be fully remote within the continental United States. The Portfolio Operations Lead provides operational and administrative support to the Portfolio Director and Program Managers across the Memorials and Corporate portfolios. This role serves as a central coordination point to ensure administrative continuity, consistency, and alignment across programs.
