• Manage complex, high-volume calendars across multiple executives, including scheduling, prioritization, and conflict resolution • Coordinate internal and external meetings across time zones, ensuring alignment and efficiency • Prepare executives for meetings with relevant context, materials, and follow-ups • Handle travel coordination, expense management, and logistics for executive activities • Track and manage action items, ensuring timely follow-up and execution • Support day-to-day administrative needs with a high level of accuracy and responsiveness • Serve as a key point of coordination across teams, helping drive alignment and communication • Partner with stakeholders across HR/Operations, Finance, Partnerships & Channels, and GTM to ensure priorities move forward • Support planning and execution of internal meetings, offsites, and key initiatives • Anticipate executive needs and proactively address issues before they arise • Navigate shifting priorities and ambiguity with flexibility and sound judgment • Operate with urgency while maintaining attention to detail and quality • Handle sensitive information with the highest level of confidentiality and professionalism • Serve as a trusted partner to executives in managing internal and external communications

Job Requirements

  • 5–8+ years of experience supporting senior executives (VP+ / C-level preferred)
  • Prior experience in a startup or high-growth environment strongly preferred
  • Proven ability to operate in fast-paced, dynamic environments with shifting priorities
  • Exceptional organizational and time management skills
  • Strong communication and stakeholder management capabilities
  • High level of discretion and professionalism
  • Experience supporting multiple executives simultaneously
  • Experience working across global teams and time zones (NA preferred)
  • Familiarity with tools such as Google Workspace, Slack, Zoom, and expense management systems (i.e., Ramp)
