Recruiting Coordinator
Forge
Role Description We’re hiring a Recruiting Coordinator to help scale how Forge hires. This role sits at the center of our recruiting process — ensuring candidates move quickly, interviews are tightly run, and every touchpoint reflects a high bar. This is not a purely administrative role. You’ll be expected to operate with ownership, make judgment calls, and help enforce structure across the hiring process. You’ll work closely with recruiters, hiring managers, and leadership, often coordinating across executives and high-priority candidates. The right person will bring strong attention to detail, clear and warm communication, and the confidence to make proactive improvements to the process. NOTE: This role does involve long hours - generally should be available between 9am to 9pm Pacific Time every day (or earlier or later based on your preferences, but for around that 12 hour block every day). But note that there isn't necessarily work to do at all those hours, so the expectation is more that if a candidate or an interviewer internally pings you, that you're available to respond to handle it. Responsibilities - Own interview scheduling across multiple roles and stakeholders via email and slack - Act as the primary point of contact for candidates throughout the interview process - Deliver a high-quality, responsive candidate experience - Partner closely with recruiters and hiring managers to keep processes moving with urgency - Coordinate complex scheduling across executives and cross-functional teams - Maintain accurate and up-to-date data in Ashby (ATS) - Identify inefficiencies in the recruiting process and proactively solve them - Help enforce consistency and structure in interview processes and feedback loops - Push back when needed on timelines, expectations, or unclear inputs Qualifications - 1-2 years of experience in recruiting coordination or a similar communications role - Strong organizational skills and attention to detail - Clear, professional communication and executive presence - Ability to manage multiple workflows and messages simultaneously without dropping details - High ownership and reliability — you follow through - Comfort operating in a fast-paced, high-expectation environment - Willingness to push back and uphold a high bar Nice to have - Experience working with an ATS (we use Ashby) - Experience at a high-growth startup or fast-paced environment - Exposure to recruiting operations or process improvement work - Experience supporting executive-level scheduling Company Description Forge (backed by OpenAI and Founders Fund) is creating the next layer of human-computer interaction — combining the intelligence of AI with the reliability of software.
