• Schedule and coordinate a high volume of interviews end-to-end: technical screens, team rounds, executive interviews, and debriefs • Own candidate communication throughout the scheduling lifecycle — confirmations, reschedules, prep materials, and day-of logistics • Deliver a thoughtful, high-touch candidate experience throughout the interview process • Maintain accurate data in our ATS: interview plans, interviewer pools, reference check forms, and more • Prepare interviewers ahead of each interview by distributing resumes, rubrics, and relevant context • Support day-of interview logistics, including troubleshooting and last-minute changes • Proactively surface scheduling blockers, SLA risks, and process improvement opportunities
Job Requirements
- 1–3 years of experience in a recruiting coordination, executive assistant, or high-volume scheduling or operations role
- High bar for operational excellence, accuracy, and follow-through
- Clear, professional, and warm written communication
- Comfort making independent decisions in a fast-moving environment
- Ability to prioritize across competing scheduling requests and stakeholders
- Proactive mindset — you spot problems before they escalate
