Event Assistant
Your Bourse
• Research and shortlist venues for meetups, dinners, and side events. • Request and compare commercial proposals from venues and other vendors. • Order and coordinate printing of flyers, banners, certificates, business cards, and other materials. • Work with merchandise suppliers (production, branding, delivery). • Manage international delivery logistics (courier and postal services). • Track deadlines, statuses, budgets, and vendor commitments for all events. • Work closely with the Marketing team to support all expo and event activities. • Prepare guest lists, invitations, confirmations, and reminders. • Communicate with international vendors, partners, and organizers in English. • Coordinate photo/video content gathering after events. • Assist with preparing post-event reports and presentations. • Manage invoices from vendors: check details, track approvals, and follow up on payments. • Maintain organized records of vendor contacts, quotes, cost sheets, and agreements; and • Any other duties relevant to the role.
Job Requirements
- Excellent written and spoken English.
- Experience working with suppliers such as: printing vendors, merchandise/branding providers, venues and/or catering.
- Strong multitasking and organizational skills; ability to handle several tasks and vendors at the same time.
- Ability to manage invoices, quotes, and cost sheets with attention to detail.
- Confident user of Google Docs, Sheets, Drive, Telegram, Google Meet, Notion (or similar tools).
- Ability to work independently, follow up proactively, and push vendors to meet deadlines.
- Sense of aesthetics and good taste in visual materials (understanding what looks clean, modern, and on-brand).
