The role: The Mailroom Associate is responsible for efficiently processing and delivering all incoming and outgoing mail ensuring all correspondence reaches its destination quickly and accurately. This requires a high level of attention to detail and strong organizational skills while adhering to strict deadlines and maintaining a high level of confidentiality and professionalism. What you’ll do: - Scan and sort inbound mail and deliver scans internally according to mail routing rules and required deadlines. - Accurately track inbound and outbound mail and ensure backups are retained and tracked. - Maintain accurate logs of incoming high-value packages and certified mail to ensure a clear chain of custody.Prepare letters and packages for shipment, including weighing items, calculating postage, and choosing the most cost-effective shipping method (USPS, UPS, FedEx, etc.). - Monitor and restock mailroom supplies (envelopes, boxes, tape, toner, etc.) and place orders before items run out. - Receive and sign for deliveries from external couriers and coordinate pickups for urgent outgoing shipments. - Perform basic troubleshooting on mailroom machinery, such as postage meters, folding machines, and printers. - Assist with light administrative tasks, such as assembling marketing kits or moving small office furniture/supplies as needed. What you’ll need: - Minimum of 6 months customer service-related experience - High school diploma or equivalent (GED) required - Ability to effectively work individually and in a team environment. - Ability to work and accomplish goals with minimal supervision - Ability to multitask and manage competing priorities - Ability to adapt to changing fast-growing production environment - Strong communication, organizational, and administrative skills - Proficient with Microsoft Office Suite (Word, Excel, PowerPoint) and/or Google suite - May be required to lift items weighing up to 50 pounds - Must be detail-oriented with an ability to work in a fast-paced environment Nice to have: - 1+ year mailroom experience - Prior knowledge of or work experience in a banking environment Work Environment This job operates in a professional office environment. This role routinely uses standard office equipment. Position Type/Expected Hours of Work This is a full-time, in-office position and hours of work and days are Monday through Friday, between 8:00 a.m. to 6 p.m. Occasional evening and weekend work may be required as job duties demand.
