Administrative Assistant
Circana
• Deliver exceptional support to 2 executives across 6 verticals on all administrative matters including scheduling meetings, managing calendars, submitting expenses, tracking invoice payments, understanding the budget, working in DocuSign and Adobe, Concur • Manage inquiries regarding Circana procedures and association memberships; navigate corporate sponsorships and events with trade associations, as well as help support any event planning needed across the practices • Manage other miscellaneous requests or issues that arise. • Develop and maintain a rapport with the executives and stakeholders through strong lines of communication • Demonstrate professionalism and strict confidentiality through all interactions, and with all materials, and exercise discretion at all times • Assist with various tasks, including, but not limited to maintaining distribution lists and Team calendars • Cross functional training /meeting coordination • Sponsorship management & Coordination Team event planning • Plan meetings (physical or virtual), building PowerPoint content, taking and transcribing minutes, following-up on action items/deliverables, planning events, arranging travel, and accommodation • Maintain and refine processes that support the organization.
Job Requirements
- 5+ years’ experience providing administrative support
- Superb level of professionalism, business acumen and maturity
- Exceptional organization skills, verbal and written communication skills, and meticulous attention to detail
- High proficiency in MS Office (Excel and PowerPoint) and auxiliary platforms e.g., MS Teams
- Strong project and task management skills
- Ability to multitask and adjust in a fast-paced environment
- Experience in scheduling assistance and calendar management
- Ability to adjust working schedule as needed to support meetings before and after office hours
- Experience with Concur a plus
- Experience with DocuSign and Adobe.

Key Responsibilities - Data Integrity & Dispatching: Accurately enter and update all driver information, tracking milestones, and status updates in the TMS (Transportation Management System). - Asset Management: Assign trailers to specific customer orders, ensuring optimal utilization and alignment with booking requirements. - Carrier Support: Assist the Carrier Sales team with active booking processes, covering freight, and managing carrier relationships when extra coverage is needed. - Check Calls & Tracking: Conduct routine check calls with drivers and carriers to monitor transit progress and proactively identify potential delays. - Team Collaboration: Serve as a reliable bridge between dispatch operations and the sales floor to maintain a high level of service.
