• Manage communication systems, coordinate recruiting pipelines, and help implement tools and SOPs that reduce cognitive load for the CEO and leadership team. • Triage and manage emails, reviewing flagged emails for responses. • Organize emails into four folders. • Act as a gatekeeper for the Executive's calendar and manage interview scheduling. • Maintain and improve CRM organization for usability and efficiency. • Build and maintain a personal operating system with SOPs and task tracking. • Consolidate and manage personal administrative tasks.
Job Requirements
- 3+ years of experience supporting senior executives as an EA, Operations Coordinator, or similar role.
- Exceptional written communication skills — must be a stronger writer than the executive.
- Proven ability to **follow and replicate structured formats**
- Strong organizational and execution skills
- Comfortable acting as a “memory system” for a fast-moving CEO.
- Strong organizational instincts and follow-through.
- Ability to work with systems and SOPs (Standard Operating Procedures)
- Capability to anticipate needs and provide context-based assistance
- Able to handle confidential and sensitive information responsibly.
- Tech-comfortable and adaptable to evolving systems and tools.
- Thrives in high-accountability, high-clarity environments.

This role will directly support the SVP while providing additional calendar and operational support to the VP of Engineering. - Manage complex executive calendars for senior leadership, including strategic prioritization, scheduling, and conflict resolution. - Coordinate domestic and international travel arrangements, itineraries, and logistics for executives and leadership teams. - Prepare executive briefings, presentations, meeting materials, and research summaries to support leadership decision-making. - Process and manage expense reports, invoices, and administrative documentation with accuracy and timeliness. - Screen, prioritize, and route incoming communications while maintaining professionalism and confidentiality. - Organize and coordinate meetings, leadership events, team activities, and space planning logistics. - Support special projects, operational initiatives, and day-to-day administrative functions for executive leadership and direct staff. - Partner cross-functionally with internal stakeholders to ensure alignment on schedules, deliverables, and executive priorities.
