Role Description itD is seeking an experienced Executive Assistant to support senior leadership by driving operational efficiency, managing executive priorities, and ensuring seamless coordination across administrative and strategic functions. This role will directly support the SVP while providing additional calendar and operational support to the VP of Engineering. - Manage complex executive calendars for senior leadership, including strategic prioritization, scheduling, and conflict resolution. - Coordinate domestic and international travel arrangements, itineraries, and logistics for executives and leadership teams. - Prepare executive briefings, presentations, meeting materials, and research summaries to support leadership decision-making. - Process and manage expense reports, invoices, and administrative documentation with accuracy and timeliness. - Screen, prioritize, and route incoming communications while maintaining professionalism and confidentiality. - Organize and coordinate meetings, leadership events, team activities, and space planning logistics. - Support special projects, operational initiatives, and day-to-day administrative functions for executive leadership and direct staff. - Partner cross-functionally with internal stakeholders to ensure alignment on schedules, deliverables, and executive priorities. Internal Responsibilities - Attend regular internal practice community meetings. - Collaborate with your itD practice team on industry thought leadership. - Complete client case studies and learning material (blogs, media material). - Build out material to contribute to the Digital Transformation practice. - Attend internal itD networking events (in person and virtual). - Work with leadership on career fast-track opportunities. Qualifications - 5+ years of experience providing executive-level administrative support to senior leadership. - Demonstrated expertise in strategic calendar and time orchestration across multiple executives and competing priorities. - Strong anticipatory planning skills with the ability to proactively identify needs, risks, and scheduling conflicts. - Excellent written and verbal communication skills with strong executive presence and gatekeeping capabilities. - Proven ability to handle confidential information with discretion and professionalism. - Experience coordinating travel, meetings, executive events, and expense reporting. - Strong organizational and multitasking skills in fast-paced, high-volume environments. - Proficiency with Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, and Teams. - Ability to manage multiple priorities independently with exceptional attention to detail. Preferred Qualifications and Skills - Experience supporting senior leaders within engineering, technology, or corporate operations organizations. - Experience coordinating cross-functional initiatives and leadership communications. - Familiarity with event planning, office coordination, and executive operations support. - Experience supporting distributed or hybrid teams. Education - Bachelor’s degree in a relevant field or equivalent work experience required.
