Role Description As a Payroll Specialist, you will be responsible for the payroll processing of new clients with the iSolved payroll (HCM) platform. Your duties include: - Ensuring clients process their first payrolls accurately and timely. - Providing ongoing training on Newtek (iSolved) payroll associated products. - Building long-term relationships with clients to ensure excellent customer service. - Using a consultative selling approach to upsell and cross-sell other Newtek business service solutions. - Maintaining a professional working relationship with internal and external customers. Job Responsibilities - Assist clients in processing payrolls and onboarding new clients. - Maintain an assigned base of payroll clients (approx. 175-200 clients). - Provide excellent customer service support by resolving client issues and concerns. - Expand knowledge of payroll and payroll tax rules and regulations. - Ensure all data entry changes are accurately keyed in a timely manner. - Ensure deadlines are met and payrolls and reports are produced accurately. - Serve as a single point of contact for clients and coordinate with internal departments. - Handle escalated calls from other payroll team members as needed. - Support management in training other payroll team members. - Perform adjustments, reconciliation, and audits, researching all issues. - Assist management in documenting workflows and processes. - Learn to coordinate and perform complex payroll/HR/Time duties. - Collect, analyze, update, and reconcile payroll data on various schedules. - Research and analyze discrepancies and process payroll and benefit adjustments. - Perform calculations and applications of garnishment deduction orders. - Prepare and send client payroll reports as needed. - Reconcile all data with client payroll each reporting period. - Process year-end updates for all clients and provide accurate tax reports. - Prepare off-cycle payrolls and manual checks as necessary. - Develop and maintain awareness of SSAE16 requirements. - Employ root cause analysis, troubleshooting, trending, and preventative measures. - Process payrolls for new clients to ensure smooth functionality. - Document client notes and issues within Newtek (iSolved). - Provide training to new clients on the iSolved online system as needed. Customer Service - Monitor all internal/external communication channels for responsiveness. - Ensure proper telephone etiquette and effective communication with clients and colleagues. - Be comfortable on video camera while engaging with clients/customers. - Make independent decisions on problem resolution consistent with Newtek's policies. - Escalate significant client issues to Payroll Specialist II or management as needed. - Establish and maintain effective communication and coordination with the Newtek team. - Keep management informed of activities and significant client problems. - Demonstrate initiative by recommending ways to improve processes. - Attend and participate in meetings as required. - Maintain a professional manner and positive attitude with all Newtek and clients. - Identify areas of client dissatisfaction and coordinate with management to resolve. Qualifications - High School or equivalent experience with a minimum of 1 year of full-cycle payroll processing experience preferred. - Bachelor's degree in accounting or related field preferred. - Prior experience as a Payroll Client Services Specialist preferred. - American Payroll Association certification (FPC or CPP) preferred. - Basic knowledge of payroll tax laws at federal and state levels. - Experience with at least two payroll/HCM systems (e.g., ADP Workforce Now, Workday, Paychex, Ceridian); experience in iSolved is a plus. - Strong client relationship building skills. - Experience handling mid-size payrolls. - Good knowledge of payroll and time systems, production environment, and implementation practices. - Willingness to learn about other Newtek products and solutions. - Good oral and written communication skills; ability to follow detailed directions. - Ability to work under time constraints and meet schedules. - Resourceful and accountable for job responsibilities. - Ability to maintain cooperative working relationships with all levels of management. - Bilingual a plus or may be required based on company needs. - Strong interpersonal skills and a positive attitude. - Attention to accuracy and detail in processing information. - Ability to manage multiple, high-priority tasks and adjust to shifting priorities. - Good analytical and problem-solving skills. - Flexible and cooperative in fulfilling obligations. - Drive and enthusiasm; thrives in a team environment. - Ability to handle sensitive data with confidentiality and integrity. - Excellent work ethic with a desire to succeed. - Proficient in Windows-based applications (Microsoft Office Suite), advanced Excel, and data import/export.
