Data Entry & Administrative Specialist

Apogee Global RMS is looking for a detail-oriented Data Entry & Administrative Specialist to support daily operations by managing data, maintaining records, and handling general administrative tasks. This role is perfect for someone who’s organized, accurate, and loves keeping things running smoothly behind the scenes. JOB RESPONSIBILITIES: Data Entry & Records Management - Enter, update, and maintain data in internal systems and databases - Verify accuracy of data and correct errors or inconsistencies - Maintain organized digital and physical filing systems - Generate basic reports, spreadsheets, and summaries as needed - Ensure data confidentiality and follow data security guidelines Administrative Support - Handle emails, phone calls, and internal communications - Schedule meetings, manage calendars, and coordinate appointments - Prepare documents, presentations, and correspondence - Assist with invoicing, purchase orders, and expense tracking - Support HR, finance, or operations teams with administrative tasks - Order and manage office supplies and resources Process & Coordination - Follow established procedures and help improve workflows - Coordinate with other departments to gather or share information - Track tasks, deadlines, and deliverables - Provide general clerical support to the team as needed

Job Requirements

  • High School Diploma OR Associate’s degree (Bachelor's degree is a plus)
  • Proven experience in data entry, admin, or clerical roles
  • Strong attention to detail and accuracy
  • Proficiency with MS Office / Google Workspace (Excel/Sheets is a must)
  • Good typing speed and computer skills
  • Strong organizational and time management skills
  • Clear written and verbal communication skills
  • Ability to handle sensitive information with discretion
  • NICE TO HAVE SKILLS :
  • Experience with CRM, ERP, or database systems
  • Basic knowledge of accounting or HR admin tasks
  • Experience in a fast-paced office or remote environment

This is a remote role that will operate across U.S time zones. - Keep up to date with advances in the field and the regulatory requirements. - Maintain comprehensive knowledge of ACE features. - Maintain comprehensive knowledge of Katalon/Selenium automated software testing tools. - Author, review, approve, revise, and execute computer system validation (CSV) deliverables and ensure they meet regulatory requirements and quality standards. - Author, review, revise, and approve data migration documents and perform random sampling to ensure statistical confidence levels in the data migrated into or exported from ACE. - Create, revise, execute, and review Katalon/Selenium automated tests for ACE workflows. - Prioritize ACE Enterprise implementation work for customers, but also assist with validation of core ACE functionality (IOQ), ACE Essentials, BioTechnique, and other internal projects. - Author and revise SOPs and training materials as needed. - Provide estimated validation hours for projects. - Provide guidance for validation deliverables and strategies. - Additional duties and responsibilities may be assigned from time-to-time.
