Role Description The Data Clerk (PRN) supports day-to-day data entry and administrative functions on an as-needed, part-time basis. This role is responsible for accurately entering, updating, and maintaining information in company systems while ensuring data integrity and confidentiality. The ideal candidate is detail-oriented and organized. Essential Position Functions - Student Information System (SIS) Management - Assist with the accurate import, organization, and maintenance of student data within the SIS. - Support the entry and updating of student records to ensure alignment with school policies and data standards. - Help identify and resolve data discrepancies or system-related issues within the SIS as needed. - Student Records Management - Process inbound and outbound student records requests efficiently and in accordance with applicable privacy laws. - Assist with requesting student records through TEAL as needed. - Maintain accurate, organized, and secure student records. - Ensure compliance with record retention policies and accreditation requirements. - Work closely with enrollment, academic, and administrative teams to provide necessary student data support. - Provide as-needed support for student information system (SIS) data integrity, troubleshooting, and reporting to assist with compliance, operational efficiency, and informed decision-making. - Other duties as assigned. - Data Compliance and Reporting - Provide as-needed support in collecting, organizing, and reviewing key data and metrics to help identify trends and inform decision-making across teams. - Assist with maintaining compliance with FERPA and applicable state and international education regulations related to student records. - Support the preparation and submission of required reports to accrediting bodies and regulatory agencies as needed. - Help audit student records and data systems to promote accuracy and data integrity. - Assist with accreditation activities and adherence to internal and external academic policies on a PRN basis. - Collaboration - Collaborate with IT, enrollment, and administrative teams to support efficient data management processes. - Assist cross-functional teams with data entry, verification, and reporting needs as they arise. - Communicate data discrepancies or system issues to appropriate team members for resolution. - Support onboarding and training efforts by following established data procedures and sharing updates as needed. - Respond to internal data requests and provide timely, accurate information to stakeholders. - Work with team members to maintain consistency in data standards and documentation practices. Qualifications - Proficiency in PowerSchool/Ascender SIS or other student information systems. - Experience with PEIMS and state reporting submissions a plus. - Strong knowledge of FERPA and other student data privacy laws. - Knowledge of state and international educational compliance regulations. - Experience working in online education or private school settings is a plus. - Experience working in TEAL. Requirements - High school diploma or equivalent required. - 5 years experience working in a school setting, student records, experience in student records management or administrative support preferred.
