Billing Manager
Billtrust
• Lead & Manage a Global Billing Team • Directly manage and develop a globally distributed team of billing analysts across multiple regions (U.S., Poland, and future international locations) • Establish clear expectations, accountability, and performance standards across time zones • Allocate and reallocate work across billing cycles to ensure coverage, accuracy, and on-time execution • Build a resilient operating model through cross-training, documented ownership, and succession planning • Coach team members to exercise judgment, escalate appropriately, and continuously improve how work gets done • Own Global Billing Operations • Own the end-to-end billing process across all billing streams, including: New deals, Renewals, Usage-based and overage billing, Mid-month and month-end billing, Cancellations and credits • Ensure invoices are generated accurately, on time, and in accordance with contract terms and established billing policies • Maintain and evolve billing documentation, playbooks, and checklists to support consistent execution at scale • Drive continuous improvement across billing workflows, data quality, and system utilization • Billing Intake, Prioritization & SLA Ownership • Own the billing intake and triage process, including the shared billing inbox and inquiry tracking mechanisms • Ensure billing inquiries and requests are prioritized appropriately and resolved within defined SLAs • Enforce clear scope boundaries by quickly rejecting or rerouting out-of-scope requests • Balance recurring billing cycles with ad hoc requests without compromising accuracy or deadlines • Partner with Revenue Accounting & Support Forecasting • Work in close partnership with the Senior Revenue Accountant to ensure billing execution aligns with revenue recognition requirements • Serve as the first line of resolution for billing-to-revenue discrepancies and execution issues • Support ad hoc billing inputs and analysis required for cash forecasting, including timely and accurate data to support Finance and FP&A needs • Escalate revenue-impacting issues with clear context and recommended paths forward • Drive Change, Automation & AI Adoption • Actively assess existing billing processes and identify opportunities to simplify, automate, or redesign workflows • Champion the use of automation and emerging technologies, including AI-enabled tools, to reduce manual effort, improve accuracy, and increase throughput • Partner with Business Systems and Finance leadership to pilot and implement new tools or approaches that modernize billing operations • Encourage a culture of continuous improvement, experimentation, and thoughtful disruption of legacy processes • Cross-Functional & Systems Collaboration • Partner with Business Systems on billing system enhancements, integrations, and quote-to-cash initiatives • Coordinate with Accounts Receivable to reduce billing disputes and downstream cash collection issues • Collaborate with Sales, Customer Success, Legal, and FP&A to clarify billing execution requirements and support business needs • Participate in strategic projects related to system implementations, process redesign, and operational scaling • Governance, Controls & Reporting • Ensure billing processes comply with internal controls, accounting policies, and audit requirements • Support internal and external audits related to billing by providing documentation, explanations, and process clarity • Monitor billing accuracy, rework, and recurring issues, and drive corrective actions
Job Requirements
- Bachelor’s degree in Accounting, Finance, or a related field
- 5+ years of experience in billing, accounting operations, or revenue-related roles within a technology or SaaS environment
- Proven experience managing global teams, including working across time zones and cultures (strongly preferred)
- Strong experience with subscription-based and usage-based billing models
- Hands-on experience with billing and ERP systems (e.g., BillingPlatform, Sage Intacct)
- Demonstrated ability to lead change, challenge existing processes, and drive operational improvements
- Curiosity and openness to automation and AI-enabled tools, with a willingness to experiment and modernize how billing work is performed
- Strong organizational and prioritization skills, with comfort making trade-offs in a fast-paced environment
- Clear, confident communicator who can partner effectively across Finance, Systems, and customer-facing teams
- Process-oriented mindset with a track record of improving workflows, reducing rework, and scaling operations.
