• Support the Creative Operations Manager in coordinating cross-functional workstreams across Creative, Marketing, Product, Sales, and Web Development • Track and communicate project status regularly—keeping timelines, milestones, and deliverables up to date in our PM tools • Identify and flag project risks early, troubleshoot blockers, and recommend solutions before deadlines slip • Help develop and maintain lightweight, repeatable processes that make it easier for creative teams to collaborate and ship deliverables • Coordinate resourcing conversations and contribute to roadmap planning discussions • Prepare project updates, status reports, and team communications for stakeholders and leadership • Participate in standups, sprint reviews, and planning sessions—keeping things moving and decisions documented • Look for opportunities to improve how the team works and raise your hand when you spot them

Job Requirements

  • 2–4 years of experience in project management, creative operations, or marketing coordination
  • Exposure to Creative and Marketing team workflows—lifecycle marketing, brand, user acquisition, or content production
  • Comfortable building and maintaining project plans, timelines, and briefs that real teams actually use
  • Experience managing cross-functional projects with multiple stakeholders and shifting priorities
  • Proficient with project management tools like Asana, Jira, Monday.com, or Google Sheets
  • Strong communicator—written and verbal—who knows how to tailor updates to different audiences
  • A pragmatic problem solver who thrives in ambiguity and doesn't wait around for perfect information
  • Detail-oriented with a bias for action and a collaborative, low-ego working style

Role Description The Senior Project Manager serves as a subject matter expert (SME) and project lead for Community Catalyst’s caregiving and aging portfolio. This role provides strategic guidance, technical expertise, and implementation leadership across initiatives focused on family caregiving, aging, Medicare, Medicaid, and long-term services and supports (LTSS), including home- and community-based services (HCBS). The Senior Project Manager operates at the intersection of policy, practice, and community engagement, translating complex systems and regulations into actionable strategies that center caregiver voice and lived experience. The role leads the day-to-day execution of major federally funded, state-based, and consulting projects, while contributing to thought leadership and field-building efforts that advance Community Catalyst’s strategic priority in caregiving and aging. This position reflects an intentional investment in specialized expertise necessary to sustain, grow, and strengthen Community Catalyst’s leadership in a highly technical and implementation-driven field. Key Responsibilities - Project Leadership & Implementation - Serve as the day-to-day project lead for caregiving and aging initiatives, managing workplans, timelines, deliverables, and partner coordination. - Act as a primary point of contact for funders, state agencies, subcontractors, and national partners on assigned projects. - Support contract compliance, reporting, invoicing coordination, and internal quality assurance processes. - Manage multiple concurrent projects with varying scopes, timelines, and reporting requirements, including projects with tight deadlines and evolving needs. - Subject Matter Expertise: Caregiving, Aging, and LTSS - Provide deep expertise on family caregiving, aging systems, Medicare, Medicaid, LTSS, and HCBS across projects and internal teams. - Advise program design, stakeholder engagement strategies, and systems improvement efforts grounded in real-world implementation. - Support initiatives requiring both policy fluency and operational understanding, including CMS-aligned models, federally funded cooperative agreements, and state-administered projects. - Policy & Practice Integration - Translate complex federal and state policy into clear, practical, and actionable guidance for coalitions, agencies, health plans, and community-based organizations. - Ensure advocacy, engagement, and technical assistance strategies are informed by how caregiving and aging systems function in practice. - Contribute to the design, refinement, and testing of caregiving-focused models (e.g., caregiver navigation pilots, communities of practice, stakeholder engagement strategies). - Community Engagement & Technical Assistance - Provide technical assistance and strategic guidance to state and national caregiver coalitions and partner organizations. - Design and facilitate listening sessions, key informant interviews, peer-learning spaces, trainings, and convenings that center caregiver and consumer voice. - Support partners in integrating equity, lived experience, and community leadership into policy advocacy and systems change efforts. - Thought Leadership & Field Building - Contribute to reports, briefs, tools, presentations, and other written or visual products related to caregiving and aging. - Identify and elevate best practices in caregiver engagement, caregiving systems reform, and consumer-centered models. - Represent Community Catalyst in coalitions, conferences, advisory groups, and policy forums related to caregiving, aging, and LTSS, as appropriate. - Internal Collaboration & Organizational Support - Collaborate closely with colleagues across policy, programs, communications, operations, finance, and advancement functions. - Provide subject matter expertise to support proposal development, project design, and strategic planning related to caregiving and aging. - Participate actively in internal teams and organizational processes to support shared goals, learning, and accountability.
