Payroll Clerk

• Collect weekly timesheets and hours from temporary workers via email, phone, text message, and WhatsApp. • Input contractor hours onto various Vendor Management Systems (VMS) in line with client requirements. • Submit weekly hours and payroll information between Thursday and Sunday for the relevant week ending. • Input and process contractor expenses accurately and within required deadlines. • Update the internal payroll system to ensure the Accounts team is aware of all payments due. • Ensure temporary workers are correctly aligned to either PAYE or outsourced Umbrella payment methods. • Complete and issue assignment confirmations/contracts detailing working hours, pay rates, client information, and assignment details. • Verify weekly pay rates on VMS platforms and ensure they match agreed internal rates. • Check and maintain correct weekly margins, ensuring pay rates, charge rates, and profitability remain accurate. • Monitor assignment end dates on VMS systems and proactively chase temporary workers regarding contract extensions. • Liaise with consultants, accounts teams, umbrella companies, clients, and temporary workers to resolve payroll or contract queries. • Maintain accurate payroll and contractor records in line with company procedures and compliance standards. • Ensure all payroll submissions are completed accurately and within strict deadlines.

Job Requirements

  • Previous payroll, recruitment payroll, or recruitment administration experience preferred.
  • Experience working with Vendor Management Systems (VMS) is advantageous.
  • Excellent attention to detail and numerical accuracy.
  • Strong organisational and time management skills.
  • Ability to manage multiple deadlines in a fast-paced environment.
  • Strong written and verbal communication skills.
  • Confident using Microsoft Office, particularly Excel.
  • Professional, proactive, and team-oriented approach.
