Role Description Client, a leading commercial HVAC, plumbing, and electrical contractor based in Texas, is seeking a highly organized and proactive remote MEP Estimating Coordinator / Junior Estimator. In this role, you will work closely to support our lead estimator by streamlining the bidding process. You will be instrumental in organizing bid documents, leveraging AI to analyze project scopes, and ensuring our estimating pipeline runs efficiently and accurately. Key Responsibilities - Document Management: Organize and maintain bid folders, project plans, specifications, addenda, and technical drawings. - Deadline Tracking: Monitor and track critical bid deadlines, addenda updates, required forms, and all submission requirements to ensure nothing is missed. - AI Utilization: Leverage AI tools (such as ChatGPT or Claude) to efficiently summarize technical specs, scopes of work, exclusions, alternates, addenda, and project risks. - Scope Review: Carefully review HVAC, plumbing, and electrical documents to identify and extract relevant scope items. - Vendor Coordination: Draft Request for Quotes (RFQs) for vendors and subcontractors, actively following up to ensure timely receipt of pricing. - Quote Analysis: Compare received vendor and subcontractor quotes, specifically flagging any missing or incomplete scope. - Proposal Preparation: Build foundational proposal shells and maintain an accurate, up-to-date bid tracker. - Risk Identification: Actively flag unclear scope items, missing information, document conflicts, or potential risks to the lead estimator. Qualifications - Must-Haves: - Organization: Extremely organized and highly detail-oriented. - Communication: Strong written English skills for professional vendor communication and internal documentation. - Tech-Savviness: Comfortable and capable of using AI tools (e.g., ChatGPT, Claude) to assist with reading and summarizing data. - Process-Driven: Strong ability to follow checklists and Standard Operating Procedures (SOPs) accurately. - Proactive Mindset: Good at asking questions when something is unclear rather than making assumptions. - Document Handling: Highly comfortable working with complex PDFs and digital bid documents. - Nice-to-Haves (Preferred): - Industry Experience: Background in HVAC, plumbing, or electrical construction. - Estimating Background: Previous experience providing MEP estimating support. - Software Proficiency: Strong skills in Microsoft Excel or Google Sheets. - Platform Knowledge: Familiarity with ServiceTitan is a plus.

• Own complex, multi-departmental initiatives spanning Operations, Finance, Compliance, and Technology from framing through delivery • Make real decisions on scope, approach, and trade-offs shaping how the work gets done, not just executing a plan handed to you • Translate strategic priorities into structured plans with clear scope, owners, timelines, and definitions of done • Run the operating mechanics of your initiatives working sessions, status reporting, risk tracking, decision logs with the discipline that gives leadership confidence the work is in hand • Step into ambiguous or high-pressure situations to resolve conflicts, rebalance resources, and keep critical deadlines on track • Sniff-test the business logic of the initiatives you lead unit economics, portfolio performance, operational trade-offs, and the assumptions underlying the plan to make sure the work is actually moving the right numbers • Build the analysis behind the recommendation not just the deck that wraps it • Connect day-to-day execution to underlying business outcomes; understand and articulate why the work matters, what success looks like in measurable terms, and when an initiative needs to be re-scoped or stopped • Brief executives with clarity on what’s happening, what’s at risk, and what to decide • Navigate complex stakeholder dynamics using influence, not authority to drive alignment between Engineering, Operations, Finance, and Compliance • Carry business logic into technical conversations many credit and operations decisions ultimately get implemented in code, and you should be fluent enough to hold productive conversations with Engineering on scope, trade-offs, and timelines • Partner with Finance on the analytical framing of your initiatives assumptions, forecasts, and the financial story behind the work • Adopt and improve the cadences, templates, and reporting that the PMO has established making them better through how you use them, not just adding to them • Help raise the bar on rigor across teams that are still maturing their project management practices, leading by example rather than by mandate

• Lead and manage cross-functional strategic growth initiatives from planning through execution, ensuring alignment with executive priorities, timelines, and business objectives. • Develop and maintain detailed project plans, status reports, risk logs, and accountability measures to drive visibility, execution, and successful outcomes across departments. • Partner closely with executive leadership to identify operational improvement opportunities, support organizational scaling efforts, and implement process enhancements that improve efficiency and overall performance. • Coordinate communication and collaboration among internal stakeholders, vendors, and leadership teams to ensure timely decision-making and effective project delivery. • Monitor project progress, proactively identify risks or roadblocks, and implement mitigation strategies to keep initiatives on track. • Analyze project outcomes, key performance indicators, and business impact metrics to provide recommendations and support data-driven growth strategies. • Facilitate meetings, track action items, and ensure follow-through on deliverables and deadlines. • Support change management efforts by helping teams adapt to new processes, systems, and organizational initiatives. • Other duties & special projects, as assigned and based on business needs.
