Executive Assistant to CEO

Role Description Infios is seeking a highly skilled and adaptable Executive Assistant (EA) to report directly to the CEO and provide support to other C-suite executives as assigned. As a trusted partner to these senior leaders, you will play a critical role in ensuring smooth operations, managing priorities, and enabling strategic focus. This role contributes to organizational success by enabling leadership to focus on strategic priorities. This role goes beyond traditional administrative tasks: - Provide high-level administrative support to the CEO and other executives as assigned, including managing complex calendars, scheduling meetings, travel coordination, and expense reporting. - Coordinate and manage all aspects of meeting logistics, including agenda preparation, attendee communication, technology setup, and follow-up on action items. - Serve as the primary point of contact for internal and external stakeholders interacting with Senior Executives. - Assist in preparing and organizing materials for meetings, including agendas, presentations, reports, and briefing materials. - Coordinate and facilitate internal and external events, team offsites, and customer meetings. - Manage and track key action items, ensuring follow-ups are completed in a timely manner. - Coordinate complex scheduling across multiple time zones, ensuring alignment with global teams while anticipating conflicts and prioritizing key meetings. - Support cross-functional collaboration ensuring smooth communication and alignment. - Maintain confidentiality while handling sensitive information related to strategy, business initiatives, and leadership discussions. - Partner with the senior leadership team to improve administrative processes, optimize workflows, and enhance operational efficiency. - Maintain a well-stocked and organized office, including managing supplies and coordinating with vendors as needed. - Ability to travel occasionally (up to 10%). Qualifications - Strong organizational and time management skills, with the ability to multitask in a fast-paced, technology-driven global environment. - Previous experience providing executive support to CEOs or senior C-suite leaders. - Strong problem-solving skills and a proactive approach to anticipating needs. - 7+ years of experience as an Executive Assistant. - Global experience is highly preferred. - High level of discretion and confidentiality, especially when handling proprietary or sensitive information. - Experience in tech or SaaS environments is preferred.
