Executive Assistant

• Manage team calendars, scheduling, and prioritization of meetings • Coordinate domestic travel arrangements • Prepare agendas, presentations, reports, and meeting materials • Draft and manage correspondence and communications • Screen and prioritize emails, calls, and requests • Organize leadership meetings and staff events • Track action items and follow up on deadlines • Support cross-functional projects and operational initiatives • Maintain records, documentation, and filing systems • Serve as a liaison between executives, employees, clients, and external partners • Maintain professionalism and confidentiality in all interactions • Support internal communication and executive messaging • Assist with office operations and vendor coordination • Improve administrative systems and workflows

Job Requirements

  • Scheduling Experience. You have managed the calendar of 1 or more busy professionals. You can organize, track, and respond to incoming requests with 100% follow through.
  • Strong Organizational Skills. You have a track record of excellent organizational, time management, and problem-solving skills.
  • Meticulous Attention to Detail. You have a keen attention to detail, ability to work well with Google Sheets, and always review something twice before completing it. You will work to ensure there are zero dropped balls.
  • Open to Feedback. This is a fast-paced and high feedback environment. You proactively take ownership over your job duties, ask for help, anticipate problems, and propose solutions for efficient execution. You also must be able to give and receive helpful, constructive feedback with positive intention.
  • Highly Professional. Handle highly sensitive information with discretion and professionalism and represent the firm professionally in all interactions.
