Role Description As an Operations Associate, you'll play an essential role in delivering seamless, personalized travel experiences to our discerning clientele. This is a dynamic, multi-faceted role where you'll help coordinate every component of a client's journey while also driving business development through aircraft sourcing, operator screening & management, and strategic partnership initiatives. This is a full-time, fully remote, entry-level role for an Operations Associate at Victor and we will consider candidates from any location to work this shift (1:00pm to 9:00pm PST). The role requires flexibility in shift patterns, including day, night, weekend, and holiday hours and includes full benefits. Key Responsibilities - Flight Coordination: Manage all aspects of flight booking and scheduling, ensuring the highest level of service and efficiency. Organize ground transportation, catering, and other services tailored to each client's preferences. - Flight Monitoring: Track flights in real-time, addressing any potential challenges such as delays, diversions, or reroutes. Ensure smooth and efficient resolution to maintain an optimal client experience. - Collaborative Problem Solving: Work closely with the other territories and departments to strategically plan and coordinate all aspects of the flight, ensuring seamless service delivery across the board. - Accounting Coordination: Partner with the accounting team to manage invoicing, payments, and financial reconciliation. Ensure all transactions are properly completed, communicated, and filed. - Aircraft Sourcing: Complete logistic checks for new potential flights, request quotes from preferred operator partners, negotiate contract terms and pricing to ensure the best value for Victor and our clients. - Safety Screenings: Ensure all aircraft meet Victor's stringent safety regulations and service standards. - Operator Directory Management: Maintain and regularly update the company's operator directory, ensuring all information is current, accurate, and accessible to the team. Regularly capitalize on networking opportunities in day to day work and proactively procure new operator data. Qualifications - Customer Service Expertise: At least 1-3 years of experience in a customer-facing role, preferably with high-net-worth individuals. A passion for delivering exceptional and bespoke service is a must. - Outstanding Communication: Fluent in English, with excellent verbal and written communication skills, ensuring clarity and professionalism in all client, internal, and vendor interactions. - Attention to Detail: Strong organizational skills and meticulous attention to detail, ensuring every trip and client interaction is flawless. - Team Collaboration: A collaborative mindset with a willingness to work across various departments, including operations, sales, and accounting, to ensure seamless service delivery. - Problem-Solving Under Pressure: Experience managing high-pressure situations and resolving issues with minimal disruption to the client's experience. - Safety-Focused: An understanding of aviation safety importance, experience preferred in vetting vendors to ensure compliance with corporate standards. - Vendor Management & Negotiation: Prefer experience in relationship building and vendor negotiations. Willingness and ability to negotiate contract terms and pricing with vendors while maintaining high professional standards. - Aviation Experience Preferred: Previous experience in the business aviation industry is highly desirable, particularly in private jet charter or flight operations. Requirements - Availability during regular business hours (1:00pm–9:00pm PST) for a 40-hour week on a rota basis which will include some weekends.
