Role Description We don’t need a traditional assistant or task coordinator. We need a high-impact operator who can act as a strategic partner to leadership while ensuring projects, priorities, and operations move forward without delays. This role sits at the intersection of executive support, project execution, and operational efficiency—directly impacting leadership productivity, team accountability, and business momentum. - You manage and optimize executive operations - Leadership calendars, meetings, priorities, and communications are coordinated efficiently with minimal friction. - You keep projects moving forward - Milestones, deliverables, and action items are tracked proactively, ensuring deadlines are met and nothing falls through the cracks. - You act as a communication and coordination hub - Internal teams, clients, and stakeholders receive timely, professional, and organized communication. - You drive accountability across projects - Teams stay aligned, follow-through is maintained, and leadership has visibility into project progress and blockers. - You streamline workflows and improve operational efficiency - Processes within Google Workspace, project management tools, and internal systems are optimized for speed and organization. - You prepare and organize critical information - Research, reports, documentation, and project updates are accurate, actionable, and readily accessible for decision-making. - You handle sensitive business matters professionally - Confidential information, executive communications, and internal operations are managed with discretion and professionalism. - You adapt to evolving business needs - Administrative tasks, operational projects, strategic initiatives, and ad hoc responsibilities are handled efficiently in a fast-paced environment. Qualifications - 3+ years of experience as an Executive Assistant, Project Manager, or similar operational role (non-negotiable). - Proven experience supporting executives, leadership teams, or managing operational projects. - Strong experience in project coordination, executive support, calendar management, and stakeholder communication. - Experience managing multiple priorities, deadlines, and workflows simultaneously. - High proficiency in Google Workspace and ability to quickly learn CRMs, AI tools, and project management platforms (Asana, Monday, ClickUp, etc.). - Excellent written and verbal communication skills across different levels of stakeholders. - Strong organizational skills with exceptional follow-through and attention to detail. Responsibilities include: - Conducting regular quality checks to ensure project deliverables meet required standards. - Ensuring First Pass Yield goals are met by all production staff and investigating rework to prevent future occurrences. - Ensuring time sheets are filled out daily with proper time codes and units claimed. - Making design/drafting quality decisions and implementing corrective actions for quality or compliance issues. - Allocating resources efficiently to meet project timelines and profitability goals. - Monitoring resource utilization and adjusting as needed. - Ensuring all project staff are engaged in productive tasks and individual tasks are completed and invoiced promptly. - Managing time to be available for mentoring and answering questions. - Identifying skill gaps and obtaining approval for necessary training sessions or new resource acquisition. - Ensuring production team members have proper training before taking on new tasks. - Developing and expanding the team with necessary skill sets for upcoming projects. - Working with the Manager to implement corrective actions related to behavior, performance, or quality. - Monitoring staff productivity targets and taking corrective action if necessary. - Assigning specific projects to individual designers and addressing questions regarding time tracking. - Answering technical questions from peers in a timely manner to maintain workflow. - Ensuring confidentiality of company information. - Performing other related duties as assigned by management. Qualifications - A minimum of three years of production design and/or supervisory experience in engineering or a related field. - Ability to handle sudden priority shifts and switch tasks easily without gaps in productivity. - Effective written and verbal communication skills, including report and plan preparation. - Willingness to learn and adapt to increased responsibilities. - Highly responsible, resourceful, accurate, dependable, and self-motivated. - Proven leadership skills to positively influence others and collaborate with teammates. - Ability to embrace corporate values and exemplify CCI leadership behaviors. Requirements - Full-time shift: Monday – Friday between 7:00 am – 4:00 pm CST. - Must be flexible and willing to work outside normal business hours as necessary.
