• Manage the CEO’s calendar daily, reviewing every invite for accuracy, completeness, and priority. • Own CEO inbox management twice daily, with a target of inbox zero by 10 AM EST and again by 5 PM EST. • Schedule calls and meetings according to a clear scheduling priority framework. • Process SMS requests from the CEO and CEO’s spouse at set times during the day. • Prepare and maintain the daily Admin Meeting agenda using the company’s structured format. • Coordinate end-to-end travel logistics, including flights, hotels, transport, itineraries, calendar blocking, and Trip Files in Google Drive. • Audit the CEO’s calendar six weeks ahead every Friday to identify gaps, conflicts, and upcoming priorities. • Coordinate closely with the CEO’s spouse on family, personal, and household scheduling. • Manage gifting, company purchases, personal appointments, and ad hoc admin tasks. • End each day by clearing lingering emails, compiling the next-day to-do list, and sending content ideas.

Job Requirements

  • Proven experience as an Executive Assistant, Virtual Assistant, or CEO Assistant.
  • Direct experience supporting a founder, CEO, or C-suite executive.
  • Strong calendar management skills, including time zones, batching, scheduling logic, and protecting executive time.
  • Excellent inbox management discipline and ability to make decisions confidently.
  • Strong discretion and confidentiality when handling sensitive personal and business information.
  • Advanced Google Workspace skills, especially Gmail, Calendar, Drive, Docs, and Sheets.
  • Experience using Slack for daily communication.
  • Strong travel booking and itinerary management experience.
  • Exceptional attention to detail and proactive follow-through.
  • Comfortable supporting executives across multiple businesses, brands, or projects.
  • Experience in telehealth, wellness, healthcare, or health-adjacent industries is a plus.
