Pre-Sales Proposal Coordinator – IT Solutions

• Review customer requests, RFQs, and tender requirements. • Understand the required IT solution and identify missing or unclear technical details. • Prepare or coordinate technical proposals, datasheets, compliance documents, and supporting materials. • Answer basic technical clarifications and coordinate complex questions with the technical team or suppliers. • Ensure proposed solutions match customer requirements before submission. • Prepare customer quotations based on supplier pricing and internal inputs. • Format and organize commercial proposals professionally. • Check pricing, product models, quantities, terms, and delivery details before sending to sales. • Suggest alternatives when the requested product or model is unavailable or not suitable. • Track RFQ and tender deadlines closely. • Create a checklist for each submission, including technical proposal, commercial offer, company documents, forms, guarantees, and required attachments. • Follow up with sales, supply chain, technical team, suppliers, banks, insurance companies, or external parties to collect missing inputs. • Ensure all documents are ready before the submission deadline. • Update opportunity records in CRM/Odoo, including stage, value, deadline, tags, notes, and attachments. • Attach quotations, proposals, datasheets, and submission documents to the correct opportunity. • Keep opportunity data clear and updated for management visibility.

Job Requirements

  • 2–4 years of experience in pre-sales, technical proposals, tender preparation, sales support, or IT coordination.
  • Good understanding of IT solutions such as hardware, networking, cybersecurity, servers, software licensing, cloud, or infrastructure.
  • Ability to read customer requirements and translate them into clear proposal documents.
  • Experience preparing technical and commercial proposals.
  • Strong follow-up skills and ability to manage deadlines.
  • Good English writing and communication skills.
  • Experience with CRM or Odoo is preferred.

Qualifications - Eight (8) or more years of federal proposal management experience, preferably in a shared services or multi-entity environment. - Bachelor’s degree in Business, Communications, English, or a related field. - Shipley, APMP, or equivalent certification preferred. - Deep knowledge of the federal procurement lifecycle, including FAR/DFARS, Sections L and M, and agency-specific acquisition practices. - Proven ability to manage multiple complex proposals simultaneously in deadline-driven environments. - Exceptional writing, editing, and document management skills, with the ability to ensure compliance, clarity, and alignment to evaluation criteria. - Experience using AI tools or large language models (e.g., ChatGPT, Claude, or proposal-specific platforms) to support proposal workflows such as compliance matrices, drafting, editing, or summarization. - Demonstrated ability to apply AI to practical proposal processes while maintaining accuracy, compliance, and quality standards. - Proficiency with Microsoft Office Suite, Adobe Acrobat, Microsoft Teams, SharePoint, and proposal tools.
