Role Description The Payroll Specialist is responsible for processing weekly Clinician timesheets for multi-state payroll, researching and resolving payroll issues and questions. The ideal candidate will be highly motivated, organized, and detail-oriented. This position is considered “non-exempt” (hourly). There is additional pay when overtime hours are worked. Responsibilities - Payroll Processing and Data Management: - Accurately compile, review, and process both manual and electronic timesheets. - Ensure all facility timekeeping reports are completed and verified on a weekly basis. - Audit timesheet data for accuracy and completeness, including processing complex math calculations. - Identify discrepancies in reported hours or pay data and make necessary adjustments. - Deadline Management and Workflow Efficiency: - Consistently meet daily, weekly, and monthly payroll processing deadlines. - Maintain strong organizational and time management skills. - Prioritize tasks to ensure timely submission of payroll data. - Employee and Clinician Support: - Serve as a primary point of contact for clinicians regarding payroll-related inquiries. - Provide prompt, professional, and clear communication while resolving questions. - Issue Resolution and Continuous Improvement: - Research and analyze payroll issues or irregularities to determine root causes. - Collaborate with management to develop recommendations for improving payroll systems. - Compliance and Policy Adherence: - Ensure payroll practices comply with federal, state, and local labor laws. - Maintain up-to-date knowledge of payroll regulations and apply them accurately. - Confidentiality and Data Security: - Safeguard sensitive employee information by maintaining strict confidentiality standards. - Ensure payroll records are securely stored and handled in compliance with privacy laws. - Team Collaboration and Mentorship: - Act as a resource and subject matter expert for internal team members. - Contribute to a collaborative team environment by sharing knowledge and best practices. - Process Documentation and Reporting: - Maintain detailed and organized records of all payroll transactions and communications. - Support audit requests as needed. - Additional Duties: - Perform other related tasks and projects as assigned. Qualifications - High school diploma or GED required. - Proficient in Smartsheet and Microsoft Office Suite, including Word, Excel, and Outlook. - Ability to effectively communicate information to clinicians and management. - Good problem-solving and analytical skills, along with effective listening skills. - Provide excellent customer service to both internal and external customers. - Ability to work overtime when needed. Requirements - Previous payroll experience preferred. - Ability and desire to work on a team with the common goal to pay our clinicians accurately and on time. - Ability to prioritize and manage multiple tasks/assignments with consistency. - Ability to make independent decisions using exceptional judgement. Benefits - Pay Range: USD $19.23 - USD $24.04 /Hr.
