Role Description We’re looking for a highly organized and proactive Executive Assistant to support the founder of a fast-growing AI software company. This role goes beyond traditional admin work — you’ll act as a right-hand partner, helping manage day-to-day operations, coordinate with developers, and keep projects moving efficiently. If you’re detail-oriented, tech-savvy, and thrive in a fast-paced startup environment, this role is for you. - Executive Support - Manage calendar, scheduling, and meeting coordination across multiple time zones - Handle inbox management and prioritize communications - Prepare summaries, notes, and follow-ups from meetings - Project Coordination (Light PM Work) - Track ongoing development tasks and ensure deadlines are met - Coordinate with developers, designers, and external teams - Follow up on deliverables and flag delays or blockers - Help organize sprints, tasks, and priorities (Agile-style workflows) - Operations Support - Assist in organizing internal systems and workflows - Maintain documentation, SOPs, and process improvements - Support onboarding of new hires (especially remote developers) - Help manage tools like Slack, ClickUp, Notion, or similar - Research & Ad Hoc Tasks - Conduct research on tools, vendors, or technical topics as needed - Assist with basic reporting and data tracking - Handle miscellaneous operational tasks to support the founder Qualifications - 3+ years experience as an Executive Assistant, Operations Coordinator, or similar role - Strong organizational and time management skills - Excellent written and verbal English communication - Experience working with remote teams - Comfortable working in a fast-paced, startup environment Requirements - $1,200/month compensation - Full-Time schedule, aligned with U.S. business hours - Remote position (Philippines-Based Independent Contractor)
