• Help deliver a highly personalized, white-glove client service experience for ultra-high-net-worth individuals and families. • Coordinate day-to-day client servicing requests with professionalism, urgency, discretion, and attention to detail. • Support Senior Partner Advisor(s) through data gathering, reporting preparation, and ongoing client relationship management. • Take detailed meeting notes and coordinate follow-up action items across internal and external stakeholders. • Assist with onboarding new client relationships and ensure a seamless transition into the firm. • Coordinate account openings, account maintenance, retitling requests, beneficiary updates, and custodial paperwork. • Coordinate money movements, wire transfers, ACH requests, and other client-directed transactions with custodians and clients. • Assist clients and advisors with one-off requests, operational projects, and time-sensitive matters. • Prepare and maintain client balance sheets, net worth summaries, and financial reports. • Assist with cash flow analysis, liquidity tracking, and investment reporting support. • Coordinate investment tracking and payment monitoring. • Assist with private investment subscription documentation, tracking, and follow-up. • Create and maintain task workflows, CRM updates, and operational tracking systems. • Coordinate with custodians to ensure account feeds and investment data are accurately reflected within portfolio reporting systems. • Help ensure accurate reporting and organization of client investment information. • Create tax preparation checklists and assist with information gathering for clients and advisors. • Coordinate with outside client professionals including CPAs, attorneys, estate planning professionals, and other service providers. • Assist in carrying out estate planning implementation tasks and project management follow-through. • Participate in internal planning and strategy discussions for clients and prospects. • Support execution and follow-up surrounding complex client planning initiatives. • Support firmwide operational initiatives, procedures, and internal process improvements. • Assist with client invoicing and operational workflows. • Coordinate with firm vendors and external service providers. • Support marketing initiatives, communications, and operational projects as needed. • Assist with implementation and rollout of new technology platforms, dashboards, databases, and estate planning systems. • Contribute to maintaining organized operational infrastructure across the firm. • Assist with ad hoc team projects and administrative requests.
Job Requirements
- 3+ years of experience within wealth management, private wealth, financial services, family office, private banking, or an RIA environment.
- Strong organizational skills with exceptional attention to detail and follow-through.
- Ability to manage multiple priorities and deadlines in a fast-paced environment.
- Strong written and verbal communication skills.
- Professional demeanor with a client-first mindset and high emotional intelligence.
- Ability to handle sensitive client information with discretion and confidentiality.
- Experience coordinating operational workflows, client service tasks, and administrative processes.
- Proficiency with Microsoft Office Suite and/or Google Workspace.
- Experience supporting high-net-worth or ultra-high-net-worth clients.
- Familiarity with custodial platforms such as Schwab, Fidelity, or Pershing.
- Experience using CRM and reporting systems such as Salesforce, Redtail, Addepar, Orion, Tamarac, Black Diamond, or eMoney.
- Experience assisting with estate planning coordination, trust administration, or tax coordination.
- Understanding of investment accounts, money movement procedures, and client onboarding workflows.
- Experience within a boutique RIA, multifamily office, or private wealth environment strongly preferred.
- Bachelor’s degree preferred but not required based on experience.
