Job Description

Project Coordinator

Remote Talent LATAM

• Review contract agreements, project scope, schedules, and drawings to understand project requirements. • Coordinate documentation submission to General Contractors (insurance, contracts, submittals, samples, bonds, etc.). • Assist with internal kick-off meetings and ensure team alignment. • Maintain and update project logs (RFI, Submittal, ASI, SK, Drawings) and escalate outstanding items. • Review daily reports, project photos, and safety documentation for completeness. • Organize and code electronic documents; ensure contracts, insurance, and bonds are current. • Assist PM in preparing/distributing meeting minutes, short interval schedules, and change orders. • Communicate with clients for updates on change order logs and project progress. • Upload and maintain drawings/specifications in Procore. • Prepare Warranty Letters and ensure accurate project completion dates. • Coordinate delivery of attic stock and final documentation to clients.

Job Requirements

  • 4+ years of Experience with construction project coordination or commercial painting preferably in multifamily or institutional projects (schools, healthcare, DCAM).
  • Proficiency in project management software (Procore, PlanSwift, Bluebeam, Smartsheet, Sage, or similar).
  • Strong organizational skills and ability to maintain accurate project documentation.
  • Ability to handle 15+ active projects simultaneously.
  • Excellent communication skills in English, both written and verbal.
  • Ability to multitask and collaborate with remote teams.
  • Comfortable using Microsoft Office (Outlook, Excel, Word, SharePoint) and Adobe.
  • Experience with Power BI
  • Dependable, self-motivated, and team-oriented.
  • Positive attitude and adaptable to changing project needs.

Role Description Orbital is seeking a Project Scheduler to join a team of specialists that supports a vast portfolio of projects in the field of Electric Utility Design and Construction. Project types include Transmission substation and line as well as Distribution substation and line. Projects are constructed throughout the Northeast United States. This is a fully REMOTE role; candidates located in the EST Time Zone (UTC-4) are preferred as daily responsibilities may require participation in virtual meetings as early as 8 AM EST through 5 PM EST. This position may be filled at the Entry-level, Mid-level or Senior Scheduler level. Responsibilities include but are not limited to: - Data Entry and Maintenance: Inputting project data into the Primavera P6 system, including project activities, durations, resources, and relationships between tasks. Regularly updating and maintaining the schedule as the project progresses. - Schedule Monitoring: Assisting in monitoring project progress by comparing actual work completed to the planned, identifying discrepancies, and helping to develop corrective action plans. - Generating Reports: Supporting and producing regular schedule reports and schedule updates for projects, which may involve extracting data from P6 and presenting it in a clear and concise manner. - Resource Management: Assisting in managing project resources by ensuring they are properly assigned to activities and responsible groups are identified accurately. - Risk Assessment: Supporting the identification and analysis of potential schedule risks and assisting in developing mitigation strategies. - Collaboration: Working with the project team to collect information, verify progress, and ensure that the schedule reflects the most up-to-date status of the project.
