Role Description The Claims Assistant supports DSV’s brokerage claims operations by assisting with the investigation, documentation, and administration of cargo loss, damage, shortage, and delay claims. This role coordinates claim intake, gathers and validates required documentation, and facilitates communication between internal teams, customers, carriers, and insurers. The role requires strong analytical skills, advanced Excel capability, and attention to detail to ensure claims are thoroughly reviewed and handled in compliance with customer contracts, carrier liability regulations, and insurance requirements. The ideal candidate is organized, data-driven, and comfortable working with documentation, systems, and cross-functional teams in a brokerage environment. Duties & Responsibilities - Claims Intake & Administration - Assist with the intake, setup, and tracking of cargo and insurance claims involving brokers, carriers, shippers, receivers, and insurers. - Ensure required documentation is collected, reviewed, and recorded, including Bills of Lading (BOL), Proofs of Delivery (POD), invoices, inspection reports, and photos. - Maintain accurate and organized claim files within internal systems and shared platforms. - Track claim progress and ensure files are complete to support timely handling. - Investigation & Analysis - Review shipment details, transportation contracts, timelines, and carrier performance to support claims investigations. - Identify discrepancies, risks, and potential fraud indicators through file review and data analysis. - Gather and organize information to support liability assessments in accordance with contractual terms and company procedures. - Escalate complex issues or concerns to Claims Analysts or management as appropriate. - Reporting & Data Management - Use Microsoft Excel to track and maintain claim data, including volume, aging, and resolution timelines. - Maintain claim logs and trackers to support visibility and accuracy of reporting. - Assist with ad hoc reporting and data requests for internal stakeholders. - Identify trends or recurring issues to support process improvements. - Communication & Coordination - Communicate with internal teams, customers, carriers, and external partners regarding claim requirements and status updates. - Request missing information and follow up to ensure timely claim progression. - Draft routine correspondence and summaries related to claims. - Partner with operations and other departments to gather necessary documentation and details. - Compliance & Process Support - Follow established claims procedures, contractual requirements, and brokerage best practices. - Support timely claim resolution through follow-ups and file maintenance. - Maintain confidentiality of sensitive claim, financial, and customer information. - Ensure files are complete and audit-ready. - Other duties and projects as assigned. Qualifications - High school diploma or equivalent required; Associate’s degree preferred. - 1–3 years of experience in claims, insurance, freight brokerage, transportation, logistics, or a related field. - Experience within a brokerage, carrier, or third-party logistics (3PL) environment preferred. - Familiarity with transportation documentation such as Bills of Lading (BOL), Proofs of Delivery (POD), NMFC classifications, and Incoterms preferred. - Experience working with claims or transportation management systems (TMS) preferred. Skills & Competencies - Strong analytical and investigative skills with the ability to review information and identify inconsistencies. - Proficiency in Microsoft Excel, including filters, formulas, pivot tables, and data tracking. - High attention to detail and ability to maintain accuracy across claim records and data. - Ability to manage multiple priorities and meet deadlines in a fast-paced environment. - Strong written and verbal communication skills. - Organized and able to prioritize workload effectively. - Customer-focused with strong follow-through. - Ability to work independently and collaboratively across teams.
