Human Resources Coordinator

Clarvida - Corporate

Role Description The Human Resources Coordinator is a remote position responsible for performing a wide variety of administrative duties in support of the Human Resources team. This role ensures the maintenance and management of personnel files in accordance with Clarvida and state policies, verifies compliance documentation including background checks, physicals, and licensures, and conducts ongoing audits to ensure accuracy and licensing readiness. The HR Coordinator reports to the Manager, People Solutions. - Act as custodian of records, maintaining confidentiality and releasing information only to authorized individuals, including handling personnel file and subpoena requests - Maintain active and terminated employee records across multiple states - Perform periodic audits of personnel files to ensure correct placement, legibility, and compliance standards - Modify, improve, and reorganize file systems in alignment with federal and state HR record retention laws - Classify files and materials according to content, purpose, user criteria, or chronological order - Verify record accuracy and review documentation for policy application and compliance, including consistent I-9 and E-Verify audits - Support daily administrative operations of the Human Resources department and interact with employees, management, and business partners - Serve as system administrator for computerized employee record databases - Assist with background (exclusion) checks and support HR, state, and local program audits - Assist with auditing change reports in collaboration with the PSS team - Collect and track expiring employee documents including clearances, ACT 31, driver’s licenses, and physicals in accordance with Clarvida and state policies - Maintain clearance and physical tracking systems to follow up at 30, 60, and 90 days prior to expiration - Complete licensing forms and gather licensing requirements as requested - Perform other duties as assigned to support employees, HR teams, programs, and the organization Qualifications - Associate’s degree or equivalent experience - 1–2 years of experience in human resources, accounting, or payroll - Strong organizational, interpersonal, and customer service skills - Strong written and verbal communication skills - Critical thinking and problem-solving abilities - Ability to work independently and collaboratively in a fast-paced, high-volume environment - Proficiency in Microsoft Office Suite (Excel, Word, Outlook) Benefits - Paid vacation days (increase with tenure) - Separate sick leave that rolls over annually - Up to 10 paid holidays* - Medical, dental, and vision insurance options - DailyPay – access your earnings without waiting for payday* - Training, development, and continuing education opportunities - 401(k) - Free licensure supervision - Pet insurance - Employee Assistance Program (EAP) - Perks @ Clarvida – national discounts on shopping, travel, Verizon, and entertainment - Mileage reimbursement - Cellphone stipend Company Description Clarvida’s success is built on the strength of our people and a shared commitment to improving lives and communities.
