• Perform ongoing data entry tasks as needed • Manage a calendar including scheduling, meetings, and travel arrangements • Prepare/ edit correspondence, communications, presentations, reports, and other docs • Coordinate meetings, set agendas, take minutes, and prepare follow ups / action items • Perform other ad-hoc tasks with limited instruction as needed • Assist with project management tasks (track deadlines/ coordinate to ensure success) • Serve as the primary point of contact between employees, clients, and external partners • Manage various billing, Accounts Payable and Accounts Receivable processes • Monitor inboxes and triage communications as needed • Create SOPs as needed

Job Requirements

  • 3+ year's experience as an operations associate (preferably at an agency or startup)
  • Exceptional verbal and written communication skills with an extroverted personality
  • Hands-on experience with project management tasks and tools (Notion preferred)
  • Basic - intermediate skills with Google Suite (Sheets, Docs, Slides)
  • Strong organizational and planning skills
  • Ability to work EST

Description Job Title: Contracts Administrator Department: Administration – Contracting Reports To: RavenTek Chief Administrative Officer Location: Remote Schedule: Monday – Friday with after business and weekend hours as needed Hours: Full-time, 40-hours/week FLSA Status: Salary, Exempt Clearance: None Position Summary The Contracts Administrator is responsible for managing the full lifecycle of all contracting related documents and tasks, ensuring compliance with federal regulations, and supporting business operations through effective contract administration. This role requires strong knowledge of FAR/DFARS, attention to detail, and the ability to coordinate across multiple teams in developing, preparing, reviewing, executing, and administering all contractual documents in compliance with policies and regulations. This role is critical to RavenTek’s success and comprehensive risk management strategy. Requirements Essential Duties and Responsibilities - Provide contract and subcontract review in accordance with company policies, legal compliance, and requirements, based on permission and authority. - Assist the business development and capture team with the review and execution of submittal documents. - Complete customer Reps & Certs and other forms on assigned projects. - Review, create, and suggest edits on teaming agreements, partner agreements, master service agreements, non-disclosure agreements, and other agreements, as assigned. - Assist in negotiations of terms and conditions with customers, partners, and subcontractors. - Perform contract or subcontract closeout activities as requested. - Create and manage Subcontractor Agreements, modifications, authorizations to proceed, staffing plans, 75% letters, and other requests and documents, working with the Program Management Office. - Submit required documents, questionnaires, pricing, and contract documents via email and within customer portals. - Track contract deliverables, deadlines, funding, and reporting requirements. - Identify and mitigate contractual risks. - Interpret and ensure compliance with Federal Acquisition Regulations (FAR), Defense Federal Acquisition Regulations Supplement (DFARS), and other applicable regulations. - Maintain contract files with an organized system of digital records and ensure audit readiness in accordance with company and regulatory standards. - Communicate with vendors and customers regarding document processing. - Manage tasks and assignments for contract personnel. - Perform other duties as required. - Enter actual time worked, once complete, at the end of the day, or no later than 10:00 a.m. the following workday, and submit timesheets at the end of each pay period. - Complete required compliance training as assigned. Qualifications, Knowledge, and Critical Skills - Capable of researching and documenting information. - Organized with great attention to detail, especially with writing and editing. - Ability to work in a team environment and self-manage in a virtual setting, prioritize multiple activities, and meet deadlines. - Effective and clear written and verbal communication skills. - Proficient with Microsoft Office: Outlook, Word, and Excel. - Skilled with Adobe. - Capable of advanced document editing. - Excellent analytical and problem-solving skills. - High level of integrity and professionalism. - Able to work under pressure and meet tight deadlines while producing high quality, error-free content. - Knowledge of contract management systems preferred (Unanet, Deltek, or similar) Education & Work Experience - Bachelor’s degree in business administration, Contracts Management, Legal Studies, or related field preferred or an additional 5 years’ experience in contracting. - Minimum 5 years’ experience with government contracting. - Strong working knowledge of FARS and DFARS, and other federal regulations. - Experience with contract lifecycle management. - Experience with subcontract administration. Work Environment Employee will be working indoors in a home office environment, and occasionally a shared office environment with other people. Potential moderate temperature fluctuations. Typical indoor and computer related noise level, and typical office, paper, and equipment related dust. Exposure to video display terminals occurs on a regular basis.
