The Co-Op Administrative Assistant is a hands-on learning role designed for current students interested in administration, accounting, finance, or business operations. In this role, you will support day-to-day administrative and accounting-related tasks that keep the organization running smoothly. You will work closely with experienced administrative and finance professionals who provide structure, documented processes, training, and oversight throughout the co-op term. This role balances learning and execution while giving you exposure to real operational workflows, internal systems, and professional responsibilities. This role consolidates responsibilities currently shared across multiple team members, allowing for greater ownership and deeper integration into team operations over time. To support continuity and long-term impact, we strongly prefer candidates who are interested in continuing in a part-time capacity beyond the initial co-op term Who Is This Role For? This role is ideal for a student who: - Is reliable, organized, and eager to learn in a professional environment - Enjoys working with details, documentation, and numbers - Is comfortable managing multiple tasks and deadlines - Can work independently while knowing when to ask questions - Is interested in administration, accounting, finance, and business operations What Will You Be Responsible For? - Organize and maintain company administrative, accounting, and finance files (digital document management) - Perform accurate data entry across internal systems and trackers - Support document management, including document preparation, filing, and record retention - Update and maintain accounting-related boards in Monday.com - Assist with invoicing and invoice tracking - Collect, organize, and maintain receipt and expense records - Support the review of credit card and bank transactions for accuracy, with ongoing review and oversight by senior staff - Review recurring software subscriptions and expenses for accuracy and cost-effectiveness. - Ensure vendor invoices and bills are reviewed and processed for payment - Track overdue invoices and support follow-up on outstanding balances - Assist with collections activities, including collecting documentation and organizing materials for legal and/or collections cases - Support client meeting related to invoicing questions or concerns, without primary facilitation responsibility - Assist with budget preparation by compiling expense data and categorizing costs, with overall budget management handled by senior staff - Assist with company event planning and travel coordination - Collaborate with internal team members in a professional remote environment - Maintain accuracy, confidentiality, and attention to detail in all work - Support other administrative or accounting-related tasks as assigned What Qualifications Do You Need? - Currently enrolled in an undergraduate program - Interest in administration, accounting, finance, business operations, or related fields - Attention to detail and follow-through - Comfortable working with numbers, records, and spreadsheets - Ability to manage multiple tasks and meet deadlines in a remote environment - Comfortable using Microsoft office - Comfort learning tools such as Monday.com, QuickBooks, and cloud-based document systems - Organizational skills sufficient to manage document management, data entry, and multiple concurrent tasks - Ability to follow structured processes - Strong written and verbal communication skills - Demonstrated sense of responsibility and ability to work independently, take initiative, and work through challenges while accepting oversight and collaborative review of financial work - Willingness to learn new systems and processes - Ability to handle repetitive tasks - Comfortable receiving constructive feedback and ability to apply it in their role - Ability to adapt quickly to changes, demonstrating flexibility and a positive attitude in a fast-paced environment - Willingness to experiment with generative AI tools in accordance with company guidelines and manager direction - Minimal travel required What Are the Work Conditions & Requirements? - Primarily remote role with regular video meetings; must have a quiet, professional workspace and be comfortable on camera  - Reliable high-speed internet  - Ability to perform essential functions in an office‑style setting (extended periods of sitting, frequent typing, frequent video calls)  Compensation and Position Details - Full-time, paid co-op position with potential opportunity for part-time continuation beyond the initial co-op term - Hourly pay: $18.00 - $21.00  - Paid, professional work experience  - Mentorship and feedback from experienced professionals  - Hands on experience supporting real accounting and administrative operations - Exposure to invoicing, collections, budgeting support, and vendor management - Strong resume-building opportunity with tangible accomplishments and insight into business operations - Opportunity to work with Executive Team - Flexible schedule aligned with academic requirements - Company-issued equipment will be provided for the duration of the co-op assignment  Note: This co-op may provide consideration for future opportunities at Long Capture, but continued employment is not guaranteed.
