Department: Finance & Accounting Engagement Type: Independent Contractor Location: Remote About the Role AJ Media is a fast-growing DTC eCommerce company managing a portfolio of brands across multiple markets. As our operations scale, so does the complexity of our payment infrastructure — and we need someone who can own it. We're hiring an Accountant who specialises in payment processing reconciliation. This isn't a general bookkeeping role — your core mandate will be to ensure every dollar running through our payment ecosystem is accounted for, tracked, and reconciled accurately and on time. If you've only ever worked with Stripe or PayPal, this role will stretch you. We work with private payment processors, reserve-based arrangements, and complex multi-processor setups — and you'll be the person keeping it all clean. What You'll Do - Perform end-to-end reconciliation across all payment processors — including private/high-risk processors operating with rolling or fixed reserves - Monitor and track reserve balances, release schedules, and amounts owed across all active processors - Identify and resolve discrepancies between processor settlements, bank deposits, and internal records - Maintain an up-to-date ledger of outstanding balances and aging receivables across all payment channels - Coordinate with internal teams (Finance, Operations) to ensure accurate transaction reporting - Flag risk exposure and escalate anomalies in processor behaviour, payout delays, or unexpected reserve holds - Prepare regular reconciliation reports for leadership — clear, accurate, and delivered on schedule - Continuously improve reconciliation workflows as payment processor volume grows
Job Requirements
- What We're Looking For
- Proven experience in payment processing reconciliation — not just Stripe/PayPal, but private processors, reserve accounts, and high-risk payment environments
- Strong understanding of how payment reserves work: rolling reserves, fixed reserves, reserve release timelines
- Solid accounting fundamentals — you know your debits, credits, and how to structure a clean reconciliation
- High attention to detail — discrepancies don't slip past you
- Comfortable working independently in a fully remote, async-first environment
- Proficient with spreadsheets (Excel/Google Sheets) for reconciliation work; experience with accounting software is a plus
- Excellent written communication — you'll be reporting findings clearly to non-accountants
- Bonus Points
- Prior experience in eCommerce, DTC, or subscription-based businesses
- Familiarity with platforms like Shopify, CheckoutChamp, or similar eCommerce stacks
- Experience dealing with chargebacks, dispute management, and their reconciliation impact
- Background in multi-currency reconciliation across markets

Accounts Payable & Receivable - Oversee the full AP and AR lifecycle, including invoice processing, payment preparation, allocation of receipts, and management of outstanding balances. - Monitor aged receivables and proactively manage collections to support cash flow. - Ensure accurate GST treatment and transaction recording. Payroll & Compliance Support - Assist with payroll accounting, including preparation of journals and reconciliation of payroll-related accounts. - Support ATO compliance requirements, including preparation and review of BAS and other activity statements. - Maintain documentation to ensure audit readiness and regulatory compliance. Reporting & Analysis - Assist in the preparation of consolidated accounts across multiple entities. - Prepare P&L and balance sheet work papers, including variance analysis and supporting commentary. - Contribute to the preparation of monthly management reporting packs for internal and external stakeholders. Multi-Entity & Global Accounting - Manage accounting processes for multiple entities operating across global regions, ensuring consistency, compliance, and accuracy. - Oversee FX transactions and foreign currency reconciliations, ensuring appropriate treatment of realised and unrealised gains or losses.
