Role Description La mission est d'assurer la gestion et le suivi de l’ensemble des procédures administratives et logistiques liées à la scolarité des étudiants, de leur intégration jusqu’à la délivrance du diplôme tout en contribuant au bon fonctionnement du service en lien étroit avec les directions des études, sous la responsabilité de la direction de la scolarité. Activités principales : - Gérer les inscriptions administratives des étudiants, saisir et mettre à jour les données dans l’outil de gestion Aurion et en assurer le suivi. - Assurer le suivi administratif des étudiants tout au long de leur parcours (répondre aux demandes, transmettre les documents demandés, etc.). - Contribuer et participer aux évènements de rentrée et de diplomation, et éventuellement selon l’organisation aux forums et portes ouvertes. - Contrôler et enregistrer les absences dans l’outil Aurion, dans le respect des procédures en vigueur. - Accueillir, informer, orienter les étudiants et étudiantes. - Assurer le suivi administratif des stages de fin d’études (PFE – 3A FISE) : enregistrement dans Aurion, vérification de conformité, élaboration des conventions et gestion logistique. - Assurer l’accueil téléphonique et physique des différents interlocuteurs internes et externes. - Gérer les ordres de missions et états de frais liés aux PFE. - Traiter les demandes reçues via la boîte mail partagée du service en collaboration avec l’équipe. - Garantir la continuité de service en assurant le relais en cas d’absence d’un membre de l’équipe. - Collaborer au pilotage de l’organisation des examens (être en support à la logistique des examens et rattrapages, s’assurer de la bonne transmission des informations). - Collaborer au pilotage du système Qualité du service en étant force de proposition sur l’évolution des modes opératoires et des processus, en relation avec la direction du service et du pilote qualité de l’établissement. Qualifications - Connaissances réglementaires des dispositifs et procédures propres à l’enseignement supérieur, dans le cadre des écoles d’ingénieurs. - Techniques de communication écrite et orale. - Appliquer la réglementation au domaine et respecter les procédures. - Gérer la confidentialité des informations et des données. - Appétence pour la découverte de nouveaux outils informatiques, propres au métier. - Savoir utiliser les outils bureautiques (Office). - Maîtriser l’anglais : Compréhension et expression écrite et orale en anglais, niveau intermédiaire B1. Requirements - Bonne capacité d’organisation. - Faire preuve de « bon sens ». - Faire preuve de respect de la confidentialité. - Réactivité. - Fiabilité/Rigueur. - Collaborer en équipe et Savoir rendre compte.
