Associate Project Coordinator

This existing vacancy is open to candidates that reside in the United States or Canada. We are seeking an Associate Project Coordinator to join our Managed Services team. The Associate Project Coordinator is responsible for leading and executing implementation projects for VelocityEHS suite of products. Leading our teams of Consultants and Specialists, you will work together to effectively deliver a variety of project types to our clients, including but not limited to implementation of VelocityEHS suite of products, (e.g., Chemical Management services, SDS Authoring services), service-specific projects (e.g., SSO implementation, translation services, etc.), and coordinating Services projects that are high complexity and/or in large quantities. An Associate Project Coordinator should have experience in a customer-facing role within a services organization or department, working directly with clients and internal teams to deliver specific services with specific contractual requirements. This role requires a balanced internal/external customer-focused mindset, keeping all project team members and stakeholders on track with deliverables throughout each project. You must be an effective communicator, solution-oriented, and exceptionally organized. As an Associate Project Coordinator, you must understand the importance of consistent delivery across projects, following processes (and help to improve them), and support our team’s objectives and company goals. Primary Duties and Responsibilities Service Delivery & Coordination - Coordinate day-to-day execution of Chemical Management projects, including scheduling, data collection, and related service deliverables. - Support delivery of both recurring services (ongoing programs) and one-time projects. - Manage multiple service engagements simultaneously, balancing priorities, timelines, and quality expectations. - Ensure all deliverables meet defined scope, timelines, and quality standards. Project & Workflow Management - Track and maintain project schedules, task progress, and key milestones across assigned accounts. - Coordinate work across internal teams (e.g., Onboarding, Operations, Consultants, SMEs) to ensure timely completion. - Identify risks, delays, or scope gaps and proactively escalate or resolve issues. - Maintain accurate documentation including status updates, action items, and service records. Customer Engagement - Serve as a point of contact for customers on assigned services, ensuring clear and timely communication. - Provide regular status updates and manage expectations on timelines and deliverables. - Ensure alignment of services purchased and ensure that services delivered meet the client's requirements and goals, while adhering to system capabilities and services offered. - Support issue resolution and follow-through on customer questions or concerns. Operational Excellence - Follow established processes and standard operating procedures to ensure consistent delivery. - Contribute to continuous improvement of workflows, tools, and service processes. - Support scalability of services through efficient coordination and Primary Duties and Responsibilities - Assist in tracking service performance metrics and delivery outcomes. Minimum Skills and Qualifications - 1+ year of experience in coordination, project support, or service delivery role. - Experience in a customer-facing environment. - Bachelor’s degree / Diploma in Business, Information Technology or related field (or equivalent experience). - Proficiency in Microsoft Office (Excel, Word, Outlook, PowerPoint) and collaboration tools. - Experience working in a remote-friendly company, using online tools and software to coordinate projects and daily work. - Strong organizational and time management skills, with ability to manage multiple priorities. - Strong verbal and written communication skills, including strengths in meeting objectives through influence, and facilitation, with an ability to focus on client service experience & stakeholder engagement. - Ability to adopt new processes and ways of thinking to align with both team and company objectives, embraces change and can support new initiatives. - Detail-oriented with a focus on accuracy and process adherence. - Ability to work independently as a self-starter who consistently reaches targets. - Customer-focused approach; take full ownership of the project, customer questions and/or concerns and follows through to completion. - Collaborative approach and team-player mentality. Preferred Skills and Qualifications - Exposure to EHS or Chemical Management (e.g., SDS, Hazard Communication). - Experience in a SaaS or services-based organization. - Familiarity with project management tools (Asana, Workfront, MS Project, etc.). - Familiarity with Customer Relationship Management tools (Salesforce, Gainsight, etc.). - Understanding of Document Management and Document Governance practices. - Experience and/or education in Project Management Methodology. - Certified Associate in Project Management Certification (CAPM) from PMI is an asset, or actively pursuing certification Who is VelocityEHS? A copy of the certificate must be provided upon request. *The PMP certification is required and may not be substituted with additional experience. - Within the last ten (10) years, must have five (5) years of experience developing and managing complex IT project schedules using Microsoft Project. *Desirable Qualification scores may be awarded for additional years of experience. - Within the last ten (10) years, must have managed a minimum of three (3) IT projects through successful PAL approval, with a value of at least $10 million each. *Desirable Qualification scores may be awarded for additional projects. - Must be able to provide a client/user end reference contact information for each applicable project that are similar in nature and scope meeting the requirements upon request in the qualification form. In addition, you must be able to submit completed reference forms when requested. The reference contact must be a representative of the company for which the project was developed and must have served in a management or supervisory role. Desirable Experience: - Possession of a Master’s Degree or doctorate from a recognized college or university. Additional qualifying experience may be substituted for the required education on a year-for-year basis. A copy of the degree must be provided upon request. Alternatively, additional qualifying experience may be substituted for the required education on a year-for-year basis. NOTE: If no Master’s degree, Resource would need to demonstrate an additional two (2) years of experience in addition to the experience used to meet MQ 1.
