We are seeking a highly organized and proactive Personal Assistant to provide direct support to a senior executive. This role requires exceptional organizational skills, attention to detail, and the ability to manage competing priorities in a fast-paced business environment. The Personal Assistant will play a key role in optimizing the executive’s time, ensuring smooth day-to-day operations, and serving as a trusted point of contact both internally and externally. Key Responsibilities - Email & Communication Management: Monitor and organize the executive’s inbox, draft and respond to messages where appropriate, flag priorities, and ensure timely responses. - Calendar & Scheduling: Manage the executive’s calendar, coordinate internal and external meetings, handle invitations, and resolve scheduling conflicts. - Travel Arrangements: Research, book, and coordinate flights, hotels, and ground transportation to ensure efficient and cost-effective travel plans. - Task & Priority Management: Help the executive organize to-dos, track deadlines, and prioritize tasks for optimal focus and productivity. - Project Coordination: Assist in managing ongoing projects by tracking action items, following up with stakeholders, and ensuring deliverables are met on time. - Document & Presentation Support: Prepare, edit, and maintain meeting materials, notes, and reports as needed. - Confidential Support: Handle sensitive information with discretion and maintain a high level of professionalism at all times. Qualifications - Proven experience as a personal assistant, executive assistant, or project coordinator supporting senior leadership. - Strong organizational and multitasking abilities with excellent attention to detail. - Effective communicator with outstanding written and verbal skills. - Proficiency in productivity tools (Google Workspace, Slack) and familiarity with task/project management software. - Ability to anticipate needs, problem-solve, and work independently in a fast-paced environment. - High degree of professionalism, discretion, and reliability.
