We’re looking for an Executive Assistant to the Founder & CEO who acts as a true extension of me. This role exists to reduce my cognitive load, surface priorities, and ensure nothing critical is lost in complexity. This is someone who takes full ownership of information flow, communication, and follow-through, and who enjoys creating clarity so I can stay focused on strategy, partnerships, and growth.  🧠 Own inbox and calendar management across business and some personal matters 📅 Coordinate scheduling, meetings, and travel across multiple time zones 📝 Draft emails, messages, and documents independently in my voice 🔁 Track follow-ups and ensure commitments don’t slip through the cracks 🗂️ Create and maintain systems in Notion for projects, decisions, and documentation 🤝 Coordinate with a global team and delegate tasks when needed 📊 Support operational execution across multiple parallel initiatives 💡 Be comfortable making real-time prioritisation decisions when context is incomplete, and escalate only when necessary This is a full-time role with flexible hours, requiring at least 4-6 hours of overlap with the US Mountain Time (MT) zone.

Job Requirements

  • Must-have requirements
  • ✅ 5+ years experience as an EA, Chief of Staff or Ops Coordinator, supporting a founder or senior executive in a fast-moving environment
  • ✅ Proven ownership of inbox and calendar management
  • ✅ Strong written English and ability to represent an executive’s voice accurately
  • ✅ Demonstrated Problem-Solving ability - must be a "thinking human being," capable of troubleshooting complex, novel issues without step-by-step guidance.
  • ✅ High Perspective-Taking ability - the capacity to quickly internalize the CEO's context (e.g., travel, social events) and design solutions that align with a high-stakes, multicultural environment.
  • ✅ Enterprising Mindset - ability to think like an owner, take full accountability, and proactively determine the best path to a desired outcome.
  • ✅ Systems-oriented mindset with strong follow-through
  • ✅ Experience improving workflows or documenting repeatable processes
  • ✅ High discretion and reliability, especially handling sensitive personal and professional data
  • ✅ Fluency with Google Suite, Notion, Slack, and modern productivity tools
  • Location Requirement: Must be legally based in Europe (EU, EEA, or UK) to facilitate necessary travel.
