Operations Associate

• Acting as a primary operational contact for Asia‑based colleagues and external partners on day‑to‑day questions, and clearly communicating relevant processes and guidelines. • Acting as a liaison point between Asia teams and Meliore operations colleagues to ensure compliance with processes, while helping adapt and optimise these processes to Asia‑specific needs and realities. • Supporting the preparation, tracking and forecasting of budgets for Asia projects and programmes, including monitoring allocations, spend and pipeline, and maintaining accurate records. • Supporting contract, grant and service agreement processes for Asia partners and vendors, including preparing documentation, coordinating internal approvals and ensuring that invoices are processed and paid on time. • Supporting procurement processes in the region, including reviewing and analysing offers and contracts, communicating with external suppliers, and maintaining updated supplier records. • Managing operational aspects of regional tools and subscriptions (e.g. collaboration platforms, software licences for Asia projects) that are not covered by central systems. • Working with relevant managers to optimise internal communications and operational workflows for Asia teams (e.g. shared drives, project management tools), and keeping key process documentation up to date. • Handling event management for virtual and in‑person meetings in the region (e.g. team retreats, partner convenings, workshops), including logistics, travel coordination, venue and supplier management, and internal/external communications. • Supporting recruitment and onboarding processes for Asia‑based staff and consultants, ensuring a smooth and inclusive experience. • Supporting other coordination tasks for Asia teams, such as scheduling calls across time zones and maintaining up‑to‑date contact and distribution lists. • Proactively contributing to team spirit and a positive working culture in Asia and globally, for example by helping organise team‑building activities and informal check‑ins.

Job Requirements

  • A genuine interest in the mission and values of climate course
  • Professional experience in a relevant field, such as budget management, project administration, grant management or operations, ideally in an international or multi‑country context.
  • Strong project management and IT skills, and comfortable with cloud‑based collaboration tools (e.g. SharePoint, Google Drive, Monday.com, Asana, Trello, Slack or similar).
  • A passion and talent for working with numbers, including comfort with basic financial tracking, reconciliations and simple analysis.
  • A fast learner with a can‑do attitude, strong problem‑solving skills, and comfort working in a dynamic, fast‑moving international environment.
  • Excellent attention to detail and a structured, organised way of working.
  • Discretion and the ability to work with sensitive and confidential information.
  • Ability to present complex operational and budget information in a clear, accessible way to colleagues without an administrative or financial background.
  • Ability to work flexibly, both independently and as part of a team, with a generous and collaborative disposition in a high‑trust community of peers.
  • The versatile and adaptable skills necessary to flourish in a wide‑ranging work environment and work effectively via phone/video conferencing, across time zones and digital platforms.
