Drive to Zero Project Coordinator
CALSTART
• Track deadlines, submit materials and both plan and coordinate timelines for major global and regional events • Coordinate internal team participation and prep for events, including briefing materials and debrief sessions. • Monitor project timelines and ensure follow-ups on key tasks, including stakeholder outreach and internal deliverables. • Support event organization by inviting and coordinating panelists, tracking submissions, and ensuring timely responses from staff and participants. • Facilitate internal project tracking and team check-ins to ensure progress and accountability. • Arrange travel logistics, particularly for the Senior Director and representatives attending international events. • Support internal meeting scheduling, agenda development, and note-taking for team and collaborative meetings. • Prepare briefing materials and ensure timely access to relevant documents for meetings, events, and stakeholder engagements. • Organize and maintain up-to-date records and documentation across platforms and systems, including presentations and annual reports, ensuring accessibility, version control, and clear labeling. • Ensure materials are well-organized and readily accessible to support internal coordination and external communications. • Coordinate internal communications to ensure team members are informed and aligned on priorities, updates, and deadlines.
Job Requirements
- Minimum of 3-5 years of professional experience.
- Bachelor’s degree in Sustainability, Planning, Policy, Communications or related field of study
- Strong project, organizational and time management skills, with the ability to handle multiple priorities.
- Excellent and proactive communication and interpersonal skills, with experience engaging with high-level stakeholders in a fast-paced environment.
- Detail-oriented with the ability to track deadlines, follow up on key tasks, and maintain well-organized records.
- Proficiency in Microsoft Office Suite (Outlook, Excel, Word, PowerPoint) and SharePoint.
- Experience with event coordination, international partnerships, or stakeholder engagement in an international setting.

Role Description The Regulatory Operations Manager is responsible for overseeing and optimizing regulatory processes, ensuring compliance with applicable laws and regulations, and supporting cross-functional teams in the execution of regulatory strategies. - Serve as a strategic partner in implementing regulatory requirements, including new federal and state changes to PBM business practices. - Lead process improvement initiatives across RxBenefits, from opportunity identification through execution, ensuring measurable efficiency and impact. - Oversee day-to-day regulatory operations to ensure timely and accurate execution. - Manage regulatory submission tracking, documentation, and reporting. - Manage and optimize legal and regulatory technology platforms and tools, driving adoption, training, and continuous improvement. - Oversee intake, triage, and resolution of regulatory service requests, ensuring appropriate prioritization and resource allocation. - Lead cross-functional workgroups charged with communicating regulatory changes, acting as project manager and primary point of contact for stakeholders. - Work with Learning and Development to design and deliver training programs to improve industry and regulatory understanding across both legal and non-legal teams. - Develop and maintain metrics, dashboards, and reporting to track department performance and identify trends. - Manage communications, both internally and externally, and knowledge management tools, ensuring accessibility and clarity. - Foster a culture of operational excellence by embedding best practices, accountability, and collaboration across departments.
