Job Description We are seeking a detail‑oriented and highly organized Team Assistant to support the Global Security organization, covering areas such as Information Security, Compliance, GRC, and Security Operations. This role ensures smooth day‑to‑day functioning of the team, supports administrative processes, and assists with coordination across ongoing security initiatives. You do not need to be a security expert - but someone with strong organizational ability, a willingness to learn, and an interest in security topics. Supporting a small team of Security experts and liaising with wider Security stakeholders across the organization, you will have an opportunity to learn more about the workings of operational and information security in a SaaS organization. Key Responsibilities Team & Operational Support - Maintain and update team documentation (e.g., process notes, trackers, security templates, shared folders). - Support the team in tracking actions, deliverables, and internal deadlines (e.g., audits, customer questionnaires, internal reviews). - Assist in preparing materials such as briefing notes, slide decks, reports, summaries, and status updates. - Coordinate cross‑functional information gathering for ongoing work (e.g., contacting stakeholders for evidence, updates, or approvals). Communication & Coordination - Act as a first point of contact for internal queries directed to the Security Team (triage messages, route to the correct team member, ensure timely follow‑up). - Help maintain structured communication channels, including Teams groups, shared inboxes, SharePoint pages, and intranet updates. - Draft simple internal communications or updates for employees (e.g., reminders, awareness notices) based on guidance from the security team. Project & Process Assistance - Support Security, Compliance, and GRC initiatives by keeping trackers up to date (e.g., improvement actions, audit evidence, risk logs, supplier assessments). - Help prepare materials for certification activities (ISO, SOC, C5, Cyber Essentials), customer questionnaires, or internal audits. - Assist with coordinating inputs for security assessments, reviews, and project-related tasks. - Maintain structured filing of historical records, reports, and evidence to support audit readiness and team efficiency. General Administrative Support - Ensure the team has organized working structures: shared calendars for key events, documentation libraries, and aligned filing standards. - Manage team logistics such as meeting agendas, notes, follow‑up actions, and maintaining process documents. Qualifications Required - 2+ years of experience in an administrative, coordination, or team support role. - Strong organizational skills (ability to track multiple workstreams, deadlines, and documents). - Excellent written and verbal communication skills; confident liaising with stakeholders across the business. - High attention to detail and comfort working with structured documentation. - Proficiency with Microsoft Office, Teams, SharePoint, and general collaboration tools. - A proactive, “go‑to” attitude with a willingness to learn about information security topics. Preferred - Interest in security, compliance, technology, or risk management. - Experience supporting teams that work with structured processes or audits. - Familiarity with project/task management tools e.g., Azure DevOps. - Experience working with data in PowerBI. - Comfort working in a fast‑moving and evolving security environment.
