• Manage projects from initiation through completion across multiple workstreams • Track milestones, timelines, dependencies, and deliverables • Follow up on action items and ensure closure • Execute pre-project and launch checklists to ensure readiness • Monitor project status daily and flag risks or blockers early • Ensure smooth handoffs between phases and stakeholders • Maintain clear ownership and accountability for tasks • Drive projects to completion with minimal supervision • Maintain high-quality CRM hygiene in HubSpot or similar platforms • Update records, pipelines, trackers, and project statuses accurately • Manage reporting documents, trackers, and dashboards • Ensure data accuracy across spreadsheets and systems • Clean, deduplicate, and organize records consistently • Support leadership with reliable data and reporting • Serve as point of contact for project-related coordination • Schedule meetings, manage logistics, and handle follow-ups • Maintain professional communication with internal and external stakeholders • Prepare agendas, summaries, and project documentation • Coordinate vendors and external partners as needed • Ensure stakeholders are aligned and informed throughout the project lifecycle • Create and maintain SOPs, checklists, and project templates • Build reusable decks, trackers, and documentation • QA deliverables before submission or stakeholder review • Identify recurring bottlenecks and standardize solutions • Maintain organized template libraries and version control • Document best practices and lessons learned • Conduct market, client, or competitive research as needed • Prepare reports, briefs, and presentations • Support light financial or expense tracking related to projects • Assist with proposal development and background research • Provide administrative support that ensures project success

Job Requirements

  • 3+ years in project management, operations, or coordination roles
  • Proven experience managing multiple projects simultaneously
  • Strong end-to-end execution and follow-through
  • Exceptional attention to detail and organizational discipline
  • Strong process-oriented mindset
  • Ability to prevent tasks and details from slipping
  • Excellent written and verbal English communication
  • Professional presence for client-facing interactions
  • Strong coordination and follow-up skills
  • CRM experience (HubSpot strongly preferred)
  • Advanced Google Sheets or Excel proficiency
  • Familiarity with project management tools (Asana, Notion, ClickUp, etc.)
  • Proactive, independent operator
  • Comfortable in remote, fast-moving environments
  • Reliable EST/PST working-hour overlap
