Virtual Assistant – Systems & Automation Specialist, AI & Integrations
We Clone You
• Build and manage automations across platforms such as **N8N, Zapier, and Make.com;** • Develop and implement **API integrations** between business tools (e.g., CRMs, landing pages, email platforms, project management tools); • Connect systems such as **CRM, landing pages, and email platforms** into reliable workflows; • Test automations, triggers, tags, and confirmation sequences before and after launch; • Monitor live automations for errors, failures, or performance issues and resolve them proactively; • Manage API keys and system integrations across connected platforms; • Audit systems regularly to identify inefficiencies and improve workflows through automation; • Troubleshoot and optimize system performance when issues arise; • Document systems, automations, and processes through well-maintained SOPs; • Build and deploy **AI agents and AI-assisted workflows;** • Implement tools such as **ChatGPT, Claude, and AI nodes within automation platforms;** • Create AI-assisted processes for follow-up sequences, reporting, communications, and content drafting; • Evaluate emerging AI tools and recommend solutions that improve operational efficiency; • Train team members on new AI tools and automated workflows when needed; • Maintain CRM systems, including **tags, pipelines, automations, and contact records;** • Ensure lead sources, form submissions, and contact data flow correctly into the CRM; • Build recruiting or sales sequences, drip campaigns, and follow-up workflows; • Audit CRM data regularly for errors, duplicates, and broken automations; • Build reporting views and dashboards that provide visibility into pipeline performance; • Set up and manage event landing pages on platforms such as **Squarespace;** • Connect registration forms to CRM systems via automation tools; • Build email invitation, reminder, and confirmation sequences; • Set up replay pages and automated follow-up workflows after events; • Track event funnel metrics and report results; • Build and maintain dashboards tracking pipeline performance, automation health, and campaign results; • Monitor system metrics and identify issues or optimization opportunities; • Deliver reports summarizing performance and operational insights; • Maintain accurate documentation as systems evolve;
Job Requirements
- Proven experience with **automation platforms** such as N8N, Zapier, or Make
- Proven experience with Monday.com
- Experience working with **APIs and system integrations;**
- Experience implementing **AI tools into operational workflows;**
- Strong **systems-thinking and problem-solving ability;**
- Experience working with **CRM platforms** (Follow Up Boss or similar)
- Ability to troubleshoot automation issues independently
- Experience creating **technical documentation and SOPs;**
- Strong written communication skills;
- Comfortable working remotely and independently;
