• Actively manage and prioritize Program Director’s email, Slack, Asana, and other communication information channels • Exercise judgment in managing and prioritizing the Program Director's task list and tracking deadlines • Track expense receipts, and maintain monthly timesheets of the Program Director • Conduct background research and provide relevant information to assist in the Program Director’s meeting preparation, decision-making, and other responsibilities • Anticipate logistical issues and problem-solve on behalf of the Program Director • Manage complex schedules to coordinate meetings on behalf of the Program Director and team • Coordinate travel arrangements for the Program Director including: obtaining visas, scheduling flights and transfers, preparing travel documents • Support in the onboarding process of new program members • Assist in the coordination of work and annual planning, working with program members and other departments as necessary • Support project management tracking and monitoring, including deploying and maintaining software solutions • Coordinate with other Director’s Assistants and administrative staff to support cross-team collaboration, streamline and unify processes, and ensure the flow of relevant information
Job Requirements
- Minimum of 3 years of administrative experience supporting director-level work
- Ability to organize and manage multiple priorities, exercise judgment, and be flexible in a fast-paced and dynamic work environment
- Superior professional communication skills, including courteous oral and written communication with both internal and external audiences
- Ability to maintain confidentiality related to documents, correspondence, and discussions
- Experience learning and thriving in new digital systems and maintaining calendars across an array of platforms and technologies
- Ability to take rapid notes/minutes in real-time (minimum of 80 wpm)
- Proficiency in Microsoft Office and Google Suite (Docs, Calendars, Sheets, etc)
- Ability to work collaboratively with a broad range of colleagues and personalities
- Anticipatory and self-directed
- Comfortable, accurate, and efficient working at a fast pace, in a proactive manner

Become a part of our caring community and help us put health first The Referrals Coordinator 2 process referrals from Military Treatment Facilities (MTFs) and civilian providers. As a Referrals Coordinator 2, you will handle some inbound calls, perform data entry into the medical management system, assigning an appropriate provider, reviewing for benefits, and/or medical necessity as required or pending to a nurse or supervisor who can complete or request additional information. Role Responsibilities - You will recognize a sensitive diagnosis and/or referral requiring Case Management and pend to appropriate point of contact for review. - You will understand TRICARE benefits/limitations and Humana Military referral processes, MOUs with MTFs, and referral and UM policies. - You will answer questions or contacts MTFs and/or civilian providers to obtain additional information that may be required to complete referral etc. - You will assign appropriate ICD10 code to referral as well as appropriate CPT Code.
