Internal Operations Manager – Operations Enablement

• End-to-end process ownership & system design • Responsible for advancing the operations methodology across the entire project lifecycle (from signing to billing & customer success) • Analyze and optimize end-to-end processes • Define clear process structures, quality gates, handover points, and role and escalation logics • Model and document target processes in systems and tools to ensure scalable operations • Actively participate in selected projects to analyze actual lead times, bottlenecks, and quality deviations • Identify standardization and automation opportunities • Derive and implement concrete improvement measures based on operational experience • Structure collaboration between Sales, Project Management, Project Support, and Customer Success • Define clear handovers and internal SLAs • Establish transparent decision-making and documentation structures • Design and develop a KPI framework for data-driven management (e.g., lead times, quality-gate performance, SLA compliance, forecast accuracy) • Establish structured weekly and monthly reviews • Improve predictability and transparency to support sustainable growth • Evolve and optimize the operational system landscape (CRM, project management, billing, etc.) • Reduce manual processes and introduce new standards • Build a scalable infrastructure to support further company growth and increased stakeholder transparency
Job Requirements
- Several years' experience building or improving processes in growing organizations
- Proven experience with KPI systems, performance management, or operational governance
- Hands-on experience managing interfaces between multiple teams or departments
- Experience in project or process management – ideally in the energy sector, infrastructure projects, or in a heavily regulated environment
- Understanding of business operations and scaling logic
- Experience working with operational tools (e.g., CRM, project management, or BI systems; preferably HubSpot, G Suite, or Notion)

Job Description POSITION SUMMARY The Property Management Administrator reports to the Senior Regional Property Manager and is responsible for supporting market-level property management teams for an assigned real estate portfolio. The Property Management Administrator’s objective is to be a point of contact for tenants within the portfolio, to maintain high levels of tenant satisfaction, to maintain low levels of accounts receivables, and to actively support the property management teams in processing contracts, invoices, internal requests, and tenant service requests. ESSENTIAL JOB FUNCTIONS Tenant Services: - Executes a high level of customer service to tenants within the portfolio through a sense of urgency with responding to tenant requests, and actively dispatching work orders to vendor partners. - Ensures that the move-in/move-out process within their assigned portfolio is being executed timely and efficiently through coordination with the property manager. - Actively engages with tenants to maintain low levels of accounts receivables through regular contact, processing of collection notices, necessary chargebacks, and tenant account management. - Ensures that tenant certificates of insurance are accurate and up to date. - Prepares tenant correspondence as directed by the Property Manager Property Performance: - Tracks and codes invoices to ensure accurate and timely processing of expenses for assigned properties. - Actively manages vendor partner insurance certificates, purchase orders, work orders, and contract documents. - Ensures that the onboarding and offboarding of properties through acquisitions/dispositions is coordinated efficiently with the transactions teams.
