Executive Assistant
Remote Insurance Team
• Collaborate with agents, brokers, and team members to support daily operations • Ensure smooth lead transitions and proper follow-through • Maintain clear and effective communication across teams • Assist with tasks assigned by leadership and agents • Support recruiting efforts (candidate outreach, tracking, and interview scheduling) • Manage recruiting pipelines within CRM systems • Assist with onboarding coordination and new team member setup • Build and maintain relationships with potential clients • Follow up with leads at different stages of the sales process • Share information on properties, market trends, and services • Execute communication strategies set by leadership • Conduct outbound calls when required • Manage calendars for agents and leadership • Schedule meetings, training sessions, and team events • Ensure team members are registered for required training • Track attendance and follow up on completion • Perform general administrative tasks • Support high-performing agents and team leads • Maintain accurate data entry across CRM systems and spreadsheets • Update and manage tracking documents (leads, transactions, agent activity) • Ensure data consistency across platforms (e.g., CRM, spreadsheets, internal tools) • Assist with reporting and basic data analysis
Job Requirements
- Proven experience in real estate support or administration
- Experience with CRM systems ( Follow Up Boss preferred )
- Strong organizational and multitasking abilities
- High attention to detail and accuracy
- Excellent written and verbal communication skills
- Comfortable working in a fast-paced, remote environment
- Reliable minimum 50 Mbps fibre internet connection
- Fully functional laptop or computer suitable for remote work
- Loadshedding backup solutions (e.g., inverter, UPS, or alternative power source)
- Quiet, distraction-free workspace

Role Description This is an exciting opportunity for an Executive Assistant to join the Executive Assistant team within Form3. This role plays a key part in supporting core members of our Executive Leadership team, helping to manage priorities, co-ordinate schedules and maintain the efficient flow of information across the organisation. With previous experience working closely with C-Suite stakeholders, you will act as a trusted partner to our Executive Leaders, ensuring that every detail, from diary management to event co-ordination, is handled with precision, professionalism and care. Key Responsibilities - Manage complex and ever-changing diaries for multiple Executive stakeholders, such as the Chief Product Officer (CPO), Chief HR Officer (CHRO), Chief Technology Officer (CTO), Chief Information Security Officer (CISO) and Chief Revenue Officer (CRO). - Attend meetings as required, taking notes/minutes, distributing actions and following up effectively for internal and external meetings. - Ensure that the Executive team are fully prepared for all meetings by providing agendas and supporting documentation, and participating in the preparation, editing and proof-reading of meeting documents and presentation materials. - Hold responsibility for the end-to-end management of team offsites, socials and external events, including end-to-end travel booking and all other administrative tasks. - Streamline and co-ordinate wider team meetings, at times standing in on behalf of the Executive Sponsor. - Support the Executive Assistant Manager as required to action items in support of the entire Executive team. - Offer ongoing support within the team function, including providing holiday and sick cover for additional Executives, whenever required. - Proactively find ways to streamline the everyday for our busy Executive team. Qualifications - A minimum of two years' experience in an Executive Assistant role, working closely with a range of C-Suite stakeholders to manage competing/shifting priorities. - Prior experience of complex diary management, preparation of meeting agendas and delivery of follow-up actions. - Strong experience with end-to-end travel booking and events management, with comfort working across differing time zones. - Exceptional written and verbal communication skills, with the confidence to represent Executive Leaders both internally and externally. - Strong organisational skills, with the ability to adapt quickly to shifting priorities, whilst still ensuring timely delivery. - Demonstrable knowledge of the Microsoft 365 Suite, in particular PowerPoint and SharePoint. - Proven experience with AI tools to enhance EA task delivery, whilst also knowing when human judgement and discretion will add value to the situation. - The ability to work independently in a fast-paced, remote environment, alongside familiarity with Slack, Zoom or equivalent remote-working tools.
