Executive Virtual Assistant

• Partner closely with the CEO to organize priorities, track key initiatives, and ensure important projects move forward • Organize systems for tracking projects, deadlines, and commitments so nothing important falls through the cracks • Serve as a liaison between the CEO and internal teams, partners, and external stakeholders to ensure clear alignment, communication and execution • Identify potential problems or bottlenecks early and propose solutions before issues escalate • Prepare presentations, documents, and research that help the CEO communicate ideas clearly to internal teams and external partners • Draft written communications including emails, memos, and social media posts (LinkedIn and other channels) • Help structure meetings, decision frameworks, and preparation materials so discussions lead to action • Manage logistics such as calendar, travel, and scheduling in a way that protects the CEO’s time and priorities
Job Requirements
- 5+ years in a support role such as Executive Assistant, Operations Assistant, Project Coordinator, or Virtual Assistant supporting C level executives
- Strong judgment and the ability to operate with minimal direction
- Exceptional written communication skills and the ability to draft clear, concise materials
- Ability to research topics quickly and synthesize information into useful insights
- Highly organized and capable of managing multiple moving priorities at once
- A bias toward action and a natural instinct to close loops and follow through
- Comfort working directly with senior leadership in a fast-moving environment
- Strong proficiency with modern productivity tools (Google Workspace, Slack, Notion, etc.) and strong in Excel and budgeting
- A strong systems mindset and interest in organizing workflows and improving processes
- Ability to work independently in a remote environment with availability overlapping Eastern and Pacific Time
