THE ROLE You are not just moving tickets. You are the operational glue that keeps culture-defining work moving fast. As our Project Manager, you will own the daily momentum of Prospekt’s active projects. Sitting at the center of the agency, you will bridge the gap between Strategy, Creative, and Production. You will build timelines, manage resource bandwidth, unblock designers, and ensure that every asset—from a rapid-response social graphic to a massive 3D campaign—is delivered on time, on brief, and up to standard. Prospekt is based in Toronto. This role is fully remote (North America only). We care about output, collaboration, and craft no matter where you are located. WHAT YOU WILL DO Workflow and Timeline Management • Build, track, and enforce project timelines across digital, design, production and other workflows. • Run daily/weekly stand-ups and status meetings to ensure all creative and production teams know exactly what their priorities are for the day/week. • Manage ticketing and project management software (e.g., Notion, Asana, ClickUp) to keep all deliverables meticulously organized. Resource and Capacity Planning • Proactively identify risks, troubleshoot challenges, and deliver effective solutions. • Route incoming client requests and allocate tasks to the appropriate team members based on capacity and skill set. • Flag resource shortages to the production team before they impact client deadlines. Sports and Cultural Campaign Delivery • Drive the rapid execution of sports and lifestyle campaigns, managing the quick turnarounds required for cultural moments, live-event reactions, etc. • Implement agile workflows to handle rapid client feedback loops without derailing the broader agency schedule. • Ensure that fast-paced deliverables maintain the agency’s high standard of craft. Cross-Functional Collaboration • Serve as a key point of contact for internal teams and clients, ensuring clear and consistent communication. • Route internal work for creative review, ensuring the design and strategy teams sign off before client presentation. • Work closely with the production team to seamlessly hand off digital and static assets into the post-production pipeline. WHO YOU ARE • You are obsessively organized and thrive on bringing order to fast-moving environments. • You are proactive, not reactive; you see a missed deadline coming a week away and adjust the schedule to fix it. • You are firm but empathetic; you know how to hold creatives accountable without killing their momentum. • You communicate clearly, concisely, and with authority. WHAT YOU BRING • 5-7 years of project management experience, and familiarity with North America and/or Europe activations. • Brand marketing agency and/or experiential agency experience is required. • A strong track record of managing high-volume deliverables. • Strong organizational skills and attention to detail, with the ability to manage multiple fast-paced projects. • Familiarity with project management tools (Asana, Notion, Monday, ClickUp, etc.). • Excellent communication and collaboration skills with a client-first mindset. • Experience working on fast-paced accounts (sports, entertainment, or lifestyle) is a strong bonus. • Willingness to work flexible hours and travel as required. WHAT WE OFFER • The autonomy to own and optimize the agency’s daily workflow. • Direct partnership with high-level creatives and production leaders. • The opportunity to help ship high-visibility work across a range of exciting industries. • A fast-moving, low-ego culture that values execution and operational excellence. HOW TO APPLY - Fill out the provided application form and ensure all relevant questions are answered thoroughly. - Case studies/project examples must be submitted with your application to be considered. Please submit applications via email only. Do not contact team members directly. Every application is reviewed carefully and we will reach out if there is a fit. This is not a role for passive note-takers. It is an opportunity to drive the operational heartbeat of a growing, culture-focused agency.
