Requirements - Stakeholder & Operations Management - Respond to stakeholder requests within 30 minutes, providing actionable follow-up within 48 business hours. - Continuously update work instructions, guidelines, standards, and policies to reflect best practices. - Conduct initial risk analyses of new vendors and offer actionable recommendations to stakeholders. - Project Documentation & Editorial Leadership - Lead the management, creation, and timely completion of all documentation for assigned projects. - Develop and refine document templates and decks (using Google Suite Products). - Facilitate quality and timely input from global Subject Matter Experts (SMEs). - Archive and systematically organize project documentation in secure repositories. - Aggregate and synthesize information for weekly, monthly, and quarterly reporting on security gaps and solutions. - Uphold clarity, structure, and precision in all written materials and executive presentations. - Ensure strong collaboration with SMEs to ensure technical accuracy and clarity in documentation and its intended audience. - Technical Research, Analysis & Knowledge Enablement - Examine technical R&D initiatives to recognize confidentiality and security risks, translating insights into robust recommendations. - Promote knowledge sharing and operational alignment across teams to foster excellence and innovation. - Develop comprehensive internal learning resources, documentation, and training curricula for diverse audiences. - Strategic Communications & Meeting Management - Actively support and occasionally lead Business Updates, Roundtables, and Weekly Team Meetings. - Serve as a primary interface in cross-functional meetings, capturing and communicating key points, actions, and deliverables. - Prepare and deliver concise, well-structured presentations of project findings and recommendations to senior leadership. - Process Optimization & Standardization - Direct routine updates and publication of Standard Operating Procedures, Work Instructions, and Best Practices for internal and client-facing groups. - Manage regular updates and accuracy of all internal standards, guidelines, trackers, and policy documentation. - Program Management & Performance Tracking - Collaborate with leadership to define and implement both immediate and long-range objectives for programs and projects. - Establish and monitor Key Performance Indicators (KPIs) to ensure program delivery is consistent with strategic goals. This person will own the creation of new documentation across support, onboarding, and strategic use cases, partnering closely with GTM teams and Product to ensure every customer has clear, helpful, and accurate guidance throughout their journey. This is a new, cross-functional role that sits at the intersection of content strategy, AI performance, and operational scale. You'll be the person who makes sure that when a customer asks Viv a question — or a CSM looks up an answer in Glean — they get something accurate, clear, and useful. Today, Viv resolves 65%+ of customer inquiries. Your work will extend that across onboarding, strategic questions, and internal workflows. Unlike a traditional documentation role, this isn't about maintaining a help center. It's about building and operating a living knowledge system that serves multiple teams and powers AI performance across the business.
