Job Description

Delivery Lead

Aiwyn

About Aiwyn Who is Aiwyn and what do we do? Aiwyn is building the operating layer for accounting firms — automating the workflows that sit between client engagement and getting paid. Our platform spans Payments, Engagements, and Practice Management, and we're deploying it inside some of the most respected accounting firms in the country, including Big 4 and Top 25 firms. About the Role The Delivery Lead is the Directly Responsible Individual for Aiwyn's most complex, high-stakes customer implementations. Where an Implementation Specialist owns a single-firm, defined-scope deployment, the IPM owns programs — rolling M&A playbooks, multi-phase enterprise rollouts, and multi-product deployments that span quarters and involve multiple internal teams and firm-side stakeholders simultaneously. This role sits at the center of Aiwyn's Advanced Implementation delivery model, leading a cross-functional trio alongside a Solutions Architect and Implementation Engineer. The IPM is accountable for the overall success of the program — scope, timeline, delivery quality, and customer confidence — while coordinating execution across every workstream. This is not a coordination role. It's an ownership role. The success or failure of the program lands here. What You'll Own Program Ownership & Delivery Leadership Own the end-to-end success of complex, multi-product customer implementations. Develop and maintain comprehensive program plans that coordinate multiple workstreams, phases, and product deployments. Ensure all implementation activity stays on schedule, on scope, and aligned to delivery objectives. When something threatens the program, you see it first and act on it. Cross-Functional Leadership Lead the Advanced Implementation Delivery Trio — Solutions Architect and Implementation Engineer — driving alignment and accountability across each function without direct authority over the success of the project. Coordinate across Implementation, Product, Engineering, Customer Success, and Support to ensure nothing falls through the cracks between teams. Customer & Executive Engagement Serve as the primary delivery leader for enterprise customers throughout the implementation. Facilitate executive-level conversations on program progress, key decisions, and delivery strategy. Manage escalations with clarity and composure. Maintain customer confidence even when the program is under pressure. Scope & Risk Management Own scope integrity across the program — identify scope creep early, manage change control, and communicate tradeoffs to both the customer and internal leadership. Maintain a live risk register. Surface risks before they become fires and drive resolution with urgency. Solution Coordination Partner closely with the Solutions Architect to ensure the proposed solution is being executed as designed. Ensure the Implementation Engineer has what they need to execute technical workstreams on time. Identify misalignment between design and execution early and drive it to resolution. Workflow Solutioning & Product Expertise Serve as a product expert and trusted advisor to the customer throughout the implementation — not just a project coordinator. When a customer's existing workflows need to change to get the most out of Aiwyn, you lead that conversation. You understand the product deeply enough to guide firms on how it should be configured and used, translate their operational requirements into the right implementation approach, and push back constructively when a requested workflow runs counter to how the product is designed to work. Customers should leave every session with you having a clearer picture of both what they purchased and how to make it work for their firm. Ongoing Program Cadence Establish and own the operational rhythm of the program — weekly syncs, milestone reviews, status reporting, and executive readouts. Keep all stakeholders informed without creating meeting overhead that slows the team down. What We're Looking For You've managed complex, multi-workstream implementations before — the kind where the org chart on the customer side has multiple layers, the technical environment has real constraints, and slipping a milestone has downstream consequences you have to manage carefully. You know the difference between running a project and running a program, and you operate naturally at the program level. You lead through influence. You don't have direct authority over the Solutions Architect or Implementation Engineer, but you set the pace, hold the standard, and create the conditions for the trio to do their best work. People follow your lead because you're organized, decisive, and clear — not because of your title. You're an exceptional communicator. Executive-level customers trust you because you tell them the truth, you don't spin, and you always know where the program stands. Internally, your updates are crisp, your asks are specific, and your escalations come with a point of view on how to resolve them. You're structured but not rigid. Programs at Aiwyn don't always go according to plan — product gaps, customer readiness issues, and technical surprises are part of the reality. You know how to adjust without losing control of the program, and you're comfortable making judgment calls in ambiguous situations. You understand the technical layer well enough to hold the implementation engineer accountable and to have credible conversations with EPD when something needs to be escalated. You don't need to build an ETL flow, but you need to understand why one is taking longer than planned and whether that's acceptable. Qualifications - 6+ years in implementation, program management, or professional services delivery at a SaaS or enterprise software company - Proven experience managing multi-phase, multi-stakeholder implementation programs — not just individual projects - Strong track record of executive-level customer communication and relationship management in a delivery context - Experience coordinating cross-functional delivery teams without direct management authority - Familiarity with technical implementation concepts — data migration, system configuration, integration architecture — sufficient to hold technical workstreams accountable - PMP, PgMP, or equivalent program management certification is a plus, not a requirement - Prior experience in accounting technology, fintech, ERP, or practice management software is a meaningful differentiator Why Aiwyn The firms we serve — including some of the largest accounting organizations in the country — trust Aiwyn with some of their most consequential operational changes. As an Implementation Program Manager, you'll be the person they trust to make those changes land. You'll have real ownership, high visibility, and the opportunity to shape how Aiwyn delivers at enterprise scale as the company continues to grow. Benefits and PerksThe big-picture value proposition of this role is simple: join us, and you'll be paid competitively to have freedom in solving worthwhile, challenging problems alongside other A-players at a fast growing SaaS startup led by an experienced and successful co-founding team with industry experience. About Bitfocus At Bitfocus, our mission is simple but ambitious: help end homelessness. We do that by building and supporting Clarity Human Services — the technology that powers communities across the country in their work to connect people experiencing homelessness with the resources they need. We're a team that leads with care, innovates with insider knowledge, and believes deeply in the power of community — because those aren't just values on a wall, they're the foundation of the work we do every day. We take pride in what we build, support one another through the hard problems, and embrace smart risks in service of meaningful impact. If you're someone who wants their work to matter — and wants to grow alongside a team that's genuinely committed to getting this right — we'd love to have you. About the role We are looking for a motivated and detail-oriented Project Manager to join our Professional Services team. In this role, you'll help communities address homelessness by supporting the implementation, configuration, and integration of Clarity Human Services — our software platform. This role sits on a defined PM career track with clear growth toward subject-matter expertise in coordinated entry, data migration, interoperability, and the Customer Portal. We're looking for someone who is ready to grow, whether you're earlier in your PM journey or bringing existing experience into a new domain. About the Professional Services team The Professional Services (PRO) team offers consulting, analytical, and implementation support services to help communities build effective homeless response systems. Our team members are generalists who develop deep expertise over time, working across: - Project planning and customer onboarding - Coordinated entry system design and configuration - Software configuration and development requirements - Data analytics and data quality - HUD HMIS compliance As a Project Manager, you will - Manage and support projects related to coordinated entry, data migration, the Client Portal, and interoperability — keeping work on track against timelines, budgets, and customer expectations. - Coordinate with stakeholders to understand their needs and business processes, translating them into functional solutions within Clarity Human Services. - Identify and flag risks early, escalating challenges proactively and proposing solutions before they become problems. - Facilitate and attend meetings with customer and community stakeholders, maintaining strong relationships and providing clear project updates. - Create clear documentation, including workflow summaries, SOWs, work plans, configuration logs, and training materials. - Develop and deliver presentations, including software demonstrations, for both remote and in-person audiences — including non-technical stakeholders. - Collaborate across departments to coordinate resources and ensure project needs are met. - Stay current on industry trends in homeless response systems and technology, bringing relevant insights back to the team. You'll know you're succeeding when - You're running your own stakeholder meetings with confidence, keeping conversations focused and productive. - Your project documentation — work plans, configuration logs, meeting summaries — is clear enough that a teammate could pick up where you left off without asking questions. - You're flagging risks before they become problems, not after. - Customers feel informed and supported throughout their projects, even when things get complicated. - You're starting to develop a point of view on coordinated entry, data migration, or interoperability — and contributing that perspective in team conversations. - You've moved from learning the tools to helping shape how we use them. What you bring - Project Management Fundamentals: Foundational experience tracking project tasks, progress, deliverables, and coordinating stakeholder communication. - Cross-Team Coordination: Ability to work across departments, align resources, and assign tasks effectively to keep projects moving. - Organization: Excellent organizational skills with the ability to manage multiple projects simultaneously and shift priorities as needs evolve. - Communication: Strong written and verbal communication skills, experience facilitating meetings, and the ability to explain technical concepts clearly to non-technical audiences. - Analytical Comfort: Working familiarity with data and analytics tools at a foundational level, with a genuine willingness to grow those skills. - Technology Enthusiasm: Genuine interest in learning new software, systems, and workflows — you see tools as enablers, not obstacles. - Adaptability: You can create structure in ambiguous situations, stay calm when plans change, and know when to ask for help versus when to move forward. Nice to have While none of these are required, candidates with any of the following will stand out: - Familiarity with or experience using Clarity Human Services or HMIS. - Background in system administration, the homeless services Continuum of Care, human services systems, or coordinated entry. - Exposure to API integrations, system-to-system data flows, or data migration concepts (even conceptually). - Experience presenting to or training non-technical audiences. - Familiarity with CRM or case management software beyond HMIS. Why Bitfocus Our benefits are designed to support you in all aspects of your health and well-being — social, physical, emotional, and financial. - Exceptional culture and mission-driven work - Comprehensive healthcare (100% employer-paid for employees) - 12 weeks paid parental leave - R&R Week (paid week off at year-end) - Three weeks paid vacation + two volunteer days per year - 401K retirement plan (4% match) - Flexible work hours and remote-first culture - Career growth plans for each role Compensation We are committed to transparent, equitable compensation that reflects both where you start and where you can go. Our compensation bands are designed to support growth within a role over time and are reviewed annually to stay competitive. This role has an annual targeted total compensation range of $49,000–$106,000, including variable compensation (bonus) eligibility. This range reflects the targeted compensation at this level, with senior-level roles carrying a separate, higher band. Most candidates join at the lower to mid range, leaving room to grow as expertise develops. We negotiate final compensation with you based on your experience, skills, and qualifications. Compensation for this role is not location-based. Remote work This is a fully remote, full-time position. To ensure a productive and secure work environment, the following setup is required before your first day: - Workspace: A private, quiet, and dedicated space free from distractions and background noise - Internet: A high-speed, reliable wired connection (Cable, DSL, or Fiber Optic) meeting minimum standards: 50 Mbps download / 20 Mbps upload / 50 ms latency or less (you can run a speed test here) Equal opportunity Qualified applicants will receive consideration without regard to race, color, religion, sex, national origin, age, sexual orientation, gender identity or expression, veteran status, or disability.
